Job Summary
The Drexel University ROTC Program Administrator (hereafter, the Administrator) is responsible for supporting Drexel's ROTC students. The Administrator reports to the Vice Provost for Undergraduate Curriculum and Education in the Provost's Office and is also responsible for interfacing between Drexel University and the Army Cadet Battalion, named Task Force Dragon. The Battalion consists of Army ROTC programs at six universities in the Philadelphia region, with Drexel University the host institution, and is overseen by the Battalion's Professor of Military Science (PMS). While the Administrator reports to the Vice Provost, it is anticipated there will be a close coordination with the PMS.
Daily tasks include Drexel Cadet support, administrative data input, record management, budget assistance, cost and purchasing management, event coordination, as well as occasional coordination with the students and offices from the other five universities in the battalion.
Essential Functions
- Drexel Cadet Personnel Actions Officer: monitor, input, and review Drexel Cadet’s records and initial enrollment paperwork to determine program eligibility and waiver requirements if needed. Update Drexel Cadet information in the Cadet Command Information Management System (CCIMS) on a recurring basis.
- Administrator of Drexel Cadet Student Records: Initiate a variety of forms for each Drexel Cadet to include maintaining Cadet's personnel file. Monitor Drexel Cadet progress at the end of the terms to ensure that the minimum standards are met. For example, academic progression and GPA standards must be within a minimum.
- Expense Manager: Review the Drexel ROTC budget line on a monthly basis, keep track of expenditures spent, and update the Drexel Vice Provost and the ROTC Commander.
- Scholarship Coordinator/Advisor: process tuition payments for Drexel Cadets, including Early Commission Program Lieutenants who are on full scholarship. Monitor Drexel Cadet performance and academic transcripts to ensure continued compliance with eligibility of enrollment and scholarship.
- Drexel University Liaison for the Army ROTC Program: serve as the point of contact and continuity between the Drexel Provost's Office and the Army ROTC Battalion leadership. Coordinates the use of university facilities for special functions and coordination of department ceremonies to include Military Ball, Awards and Commissioning ceremonies. Schedule the weekly training locations with Student Recreation Services. Coordinate the weekly Leadership labs through the Student Center. Responsible for Drexel catalog listings, course evaluations as well as course scheduling and room schedules for the academic year.
- Summer Training Liaison: prepare training packets for Drexel Cadets for summer training at the various types of schools, i.e., Airborne, Air Assault, Cadet Leaders Course, CIET, and CTLT. Prepare out-processing packets for newly commissioned Officer’s/Graduates for attendance at Basic Officer Leadership Course (BOLCC).
- Drexel Cadet Milestone Administrative Manager: assist with packet management for contracting, accessions, and commissioning.
- Ensuring compliance with Drexel policies and practices including Diversity, Labor Relations and Title IX.
- Responsibility for Drexel University on-boarding and out-processing of military members; IDs, parking, keys, email accounts, phone service, etc.
- Back-up Assistant: Assist Human Resources Assistant and Recruiting Operations Officer as required and cover down on their duties in the case of an absence.
- Other duties as assigned.
Required Qualifications
- Bachelor’s Degree or Equivalent, and 0 – 1 year experience
- Experience with Microsoft Office; budget assistance; administration and filing
- Interpersonal skills
- Ability to apply for a government Common Access Card (ID).
