Job Description:
Under general supervision of the Supervisor-Release of Information, performs a variety of duties related to telephone management, processing walk-ins, medical record request logging.
Duties and Responsibilities:
- Answers and manages incoming phone calls to Release of Information (ROI). Provides exceptional customer service at all times by identifying and addressing caller needs in a professional, positive, and caring manner. Manages difficult and emotional calls in a calm and empathetic manner. Transfers calls to appropriate party when required.
- Greets patients, law enforcement agents, and others in accordance with established policies and procedures.
- Sorts all requests for information received via U.S. Postal Service, interoffice mail, facsimile, and email as appropriate.
- Distributes mail to all the occupants of George Street Office Building (GSOB) and requests for information to the appropriate ROI team member.
- Toggles among multiple electronic health record systems and ROI vendor software researching and obtaining all the information needed to properly track requests for information.
- Logs in all request for information into the ROI Tracking system properly documenting receipt of requests and analyzing the Authorization to ensure it meets with HIPAA requirements.
- Reaches out to patients to resolve issues with medical record requests as necessary.
- Correctly identifies requests for inpatient continuity of care and faxes to York Hospital Medical Records Department for processing.
- Requests medical records from the offsite storage vendor and forwards to the appropriate WellSpan Health (WSH) employee.
- Procures temporary accounts for auditors and other Non-WSH employees requiring access to WSH EHRs.
- Scans transfer medical records into outpatient EHR and tasks the appropriate medical group practice.
- Travels to York Hospital, WellSpan storage facilities, etc. to obtain paper medical records needed for request processing.
- Completes productivity and quality reports in a timely and accurate manner in accordance with Health Information Management department policy.
Qualifications:
- Minimum Experience:
- 6-12 months in healthcare setting
- Required Course(s)/Training: Medical terminology within 6 months of hire
- LMS tutorial - Authorization to Use or Disclose Health Information Form
- Minimum Education:
- High School Diploma or GED
- Preferred: Associates Degree in Health Information Technology
- Preferred Certification:Registered Health Information Technician (RHIT)
- Skills:
- Excellent interpersonal/communication/organizational skills
- Excellent computer navigational skills
- Ability to multitask with frequent interruptions
