Position Overview
The Purchasing Coordinator will assist in managing the purchasing and cost estimating functions from product
development through construction. This position will be responsible for managing rebates, lead efforts in accounting
software/budgets and scheduling software, and contract/insurance administration. This position will also be responsible
for permit coordinator tasks as needed by Market.
What You Will Do
- Complete all necessary work to onboard new subcontractors.
- Maintain contract and insurance compliance of all vendors.
- Create Job Start packets that include anticipated costs at start.
- Assist in ensuring house budgets and options are accurate, complete and in the Homebuilder Software System while providing monthly cost reports.
- Maintain all market specific Scopes of Work for all construction phases, in coordination with the National Purchasing Coordinator
- Release Purchase Orders and create change orders as needed.
- Complete rebate tracker and submit to the National Purchasing Coordinator.
- Ensure all Standard Bid Documents are up to date and distributed to the Purchasing Team.
- Establish and maintain Bid Trackers by project.
- Assist in maintaining product catalogs.
- Generate and maintain permit checklists by municipality to ensure on-time and accurate submittals.
- Collect and submit all documents required by the municipality by project for permit approvals.
- Create and maintain a starts tracker report by project for distribution.
- Order permit checks and maintain up to date Escrow accounts by municipality.
- Collaborate with the construction team on permit phasing plans.
- Register and maintain all Contractor licenses for all municipalities.
- Generate re-inspection reports and ensure permit portals are clear to ensure Certificates of Occupancy can be obtained with no issue.
- Ensure code compliance, by municipality, is met to include all energy related items.
- Upload all permits, once attained, to all systems/servers.
- Distribute stamped permit sets to the local field staff, validate and track acceptance
- Generate, analyze, and distribute Variance reports on a weekly basis utilizing Brix and Buildpro
- Liaison between the vendor base and accounting for payment processing to include purchase order/budget adjustments
- Occasional travel may be necessary as needed
- Perform all other duties and tasks as assigned by management
- Must be able to complete all physical requirements of this role with or without a reasonable accommodation
Ideally, you'll have
- Bachelors degree in Business Administration supplemented by 3 or more years of purchasing experience
- Ability to analyze information, identifying discrepancies and inconsistencies
- Understanding and analyzation of construction documents
- Demonstrated ability to monitor progress and make changes as required
- Able to plan and prioritize while focusing on detail orientation and effective time management
- Collaborative and able to work with trade partners and employees across multiple departments
You'll crush it if you have experience with
- 4 + years of experience processing agreements for residential construction companies or contractors
- Technical background with an aptitude to learn new software programs
- Bid package preparation and analysis
- Evaluating price, quality, reliability, and availability of goods and services
- Ability to work in a fast-paced environment
- Strong verbal and visual communication, phenomenal people skills and deep understanding of how a project moves from concept to delivery
- JD Edwards, Brix, and Buildpro experience preferred
Key Priorities for First 90 Days
- Navigate Paycom payroll system and complete all required uploads and setups.
- Review specsheets, plans, and national programs with Director of Purchasing in first 30 days.
- Go through starts and permits process to become familiar with timeline, documents, and personnel.
- Establish contact with full vendor list to make proper introductions.
