The role:
Join our team as a program support specialist in our engineering automation section! In this role, you will provide research, analysis, operation evaluations, and database management. You will also work as a part of the engineering technical advancement training team supporting training events, workshops, and conferences throughout the year, as well as performing administrative tasks that ensure internal and external processes are met statewide, for financial, procurement and contract needs. A day in the life:
-
Prepare engineering automation training program classes (virtual or in-person) materials for instructors such as presentation, manuals, homework and handouts.

Schedule various trainings including facilities and equipment, monitoring training registrations and correspondence.

Coordinate venue reservations, catering and reconcile payment for services.
-
Manage the section’s inventory of survey equipment.
-
Reply to inquiries and requests for maps, plans and photos assisting in several methods of research such as global navigation satellite systems (GNSS) coordinates, general land office (GLO) records, project documents, etc.

Study and analyze maps, photos, documents, etc. to determine if other information may be needed for requester.
-
Process invoices to produce payments to contractors and vendors.
-
Coordinate and schedules dates and locations for stakeholder meetings with consultants, agency staff, and the public.

Lead outreach efforts and represent our team on various committees, task forces and special events.

This position works under a general office environment with interruptions. Hybrid work options available.

What we need:
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations
OR
An equivalent combination of training and experience.
Note: One year of postsecondary education may be substituted for up to one year of the experience.

Driving is an essential function of this position. You must have a valid driver license and an acceptable driving record. We will conduct pre-employment driving records checks on our final candidate(s). Your license does not have to be issued in Oregon to be considered.

Skilled in event planning and meeting coordination.
