The Glendale Police Department employs 441 sworn officers and 152 civilian employees. The Department is organized into three functional bureaus: the Operations Bureau, the Investigative and Administrative Services Bureau, and the Support Services Bureau.
Reporting to the Police Support Services Manager, the Police Records Supervisor is a key member of the Department's Records Unit and is responsible for supervising personnel and assisting in the management of the Department's operation.
The Police Records Supervisor plans, organizes and supervises the employees involved in the maintenance and administration of police records within the City’s Police Department. They are responsible for policy quality assurance and dissemination, public records requests, redactions, law enforcement recordings and the preparation of police reports for criminal prosecution.
Please note, while this position is currently operating on a day shift/swing shift schedule, candidates may be asked to work a variety of different shifts to include nights, weekends, and holidays.
- Supervises and motivates employees and coordinates personnel-related activities including, but not limited to: training, approving work schedules, recommending/approving personnel actions, coaching and counseling, establishing performance goals, and writing performance evaluations.
- Completes and assesses daily productivity reports.
- Ensures the orderly maintenance, confidentiality and security of Police records.
- Handles confidential phone calls from agencies seeking record and identification information; prepares incident reports and statistical summaries.
- Makes daily work assignments; observes and provides feedback on/to subordinates.
- Listens and resolves employee questions and issues.
- Performs Records Technician duties as necessary to maintain schedules and meet task deadlines.
- Implements new policies and procedures where appropriate; ensures compliance with State and national security as well as privacy laws and regulations.
- Gathers and prepares statistical reports on a daily, weekly, monthly, or annual basis as required.
- Oversees staff entering criminal activity information into computerized criminal justice information systems. Verifies information is correct and complete when entered.
- Performs difficult queries of information on computerized criminal justice information systems and verifies accuracy of information handled by staff.
- Resolves and handles complaints, to include both internal and external customers.
- Participates in work area security analysis; prepares recommendations; implements decisions.
- Ensures cash handling activities are performed in accordance with policy. Reconciles cash register and/or verifies the deposit for accuracy.
- Allocates department issued resources and ensures appropriate financial accounting.
- Conducts research and/or audits, analyzes findings, prepares reports and makes recommendations to management.
- Oversees staff handling calls for service documenting complaints of possible criminal activity.
- Oversees and signs for court orders, specifically subpoenas, and reviews them for accuracy prior to release.
- Processes expungements per policy.
- Performs other related duties as assigned.
Associate Degree in Business or Public Administration, Criminal Justice, Information Management or related field and two years of police records or related experience in the maintenance of complex automated law enforcement records or identification systems, including one year of supervisory or lead experience. Any equivalent combination of training and experience that provides the required knowledge, skills and abilities is qualifying.
Knowledge of:
Effective supervisory principles and practices
Computerized criminal justice information systems (ACJIS) Federal and State laws and regulations governing custody of information, privacy and security guidelines, detainment and transportation of prisoners
Ability to:
Plan, assign, coordinate and supervise the work performed by subordinates
Exercise independent judgment regarding the custody and dispensing of Police related information
Perform computer entry and retrieval of information
Communicate clearly and concisely, verbally and in writing
Establish and maintain effective working relationships
Use judgment in determining response to court orders
Provide accurate, timely information
Handle difficult public contact situations
Special Requirements
Applicants will be required to undergo drug testing prior to employment and will be subject to further drug and alcohol testing throughout their period of employment in accordance with the City of Glendale Substance Abuse policy.
Must obtain Terminal Operator Certification A by the Arizona Department of Public Safety within six months of hire.
May require shift work.
Valid Arizona driver's license.
Success Factor Classification Level - Professional/Supervisory
May require lifting of up to 20 pounds.
