Position Description

Under the direct supervision of the Group Manager, the Administrative Assistant will provide administrative and technical support including but not limited to answering telephones, maintaining calendars, scheduling meetings, maintaining expenditure and other records, typing, filing, copying, handling mail and deliveries.

Duties and Responsibilities:
  • Provides administrative support to the Division Director and Managers.
  • Provides general administrative and clerical duties such as filing, typing, copying, binding, scanning, etc.
  • Maintains division databases, including an electronic and hard copy filing system as assigned
  • Conducts research, assembles, and analyzes data, and prepares reports and documents.
  • Participates in the development and implementation of department and division policies and procedures
  • Records, transcribes, and distributes meeting minutes.
  • Coordinates project-based work
  • Coordinate with other divisions within Harris County Engineering Department, Precincts, and local agencies
  • Performs other duties as assigned

Requirements

Education:
  • High School diploma or G.E.D. equivalent is required
Experience:
  • Two (2) years’ experience as an administrative support or clerical work
Knowledge, Skills, and Abilities:
  • Working knowledge of computers and proficiency in the use of Microsoft Office and Adobe Acrobat
  • Strong written and verbal skills to communicate effectively with the various governmental agencies and the public
  • Strong organizational skills in maintaining records and files
  • Ability to operate basic office equipment, prepare written business correspondence, multitask, and be detail oriented
  • Ability to learn newly implemented software with proficiency and adapt to procedure changes with ease
  • Ability to effectively prioritize daily tasks and be able to work on multiple tasks within timeline constraints as required
Licensure:
  • A valid Texas driver's license, a good driving record, and the ability to drive a county vehicle.

Preferences

Education:
  • Some relevant college or courses is preferred
Experience:
  • Five years of administrative assistance experience.
  • One year experience as a technical administrative assistant in an architectural and/or engineering firm.
Knowledge, Skills, and Abilities:
  • Ability to work independently with limited supervision
  • Ability to exercise flexibility in accommodating shifting priorities, demands and schedules
  • Working knowledge of Harris County government and procedures
  • Knowledge of eBuilder project management software

General Information

Position Type and Typical Hours of Work:
  • Monday - Friday
  • Subject to Early Mornings, Evenings, Weekends & Holidays

Salary:
  • Commensurate with experience.
  • Based on 26 Pay Periods

Employment may be contingent on passing a drug screen and meeting other standards.
