SUMMARY
The Patient Care Coordinator is the first and last impression patients see when they visit the Practice. They communicate with patients via phone and email, gather pertinent patient information, accept payments, manage the Practice schedule, and verify insurance information. The Patient Care Coordinator supports the team in providing a consistent patient experience.
ESSENTIAL FUNCTIONS
o Complete procedure to open the Practice at the start of each day, including unlocking doors, turning on lights, adjusting thermostat, preparing for morning huddle, etc.
o Interact with individuals in the reception area during their wait time; attempt to create strong personal relationships
o Assist patients with completion of intake paperwork or forms
o Schedule and confirm appointments in accordance with Practice parameters; includes calling patients for follow-up appointments and after specialist visits
o Answer telephones in a timely, organized, and thorough manner; check messages (voice, text, email) and return communications in a timely manner
o Assist in coordinating office patient flow and notify clinical team of patient’s arrival
o Set up accounts and create charts for new patients; ensure files are updated and complete two days prior to appointment
o Ensure membership paperwork is signed and filed in patients’ charts
o Upload scanned Explanation of Benefits to patient account in the Practice Management Software
o Assist patients making appointments with specialists if necessary or requested o Communicate with patients to handle billing issues and complaints
o Scan any correspondence from specialists to patient file; follow up on returned mail
o Send pre-authorizations when requested or necessary
o Complete patient check-out and collect any payments to reduce outstanding balances
o Ensure payment arrangements are up-to-date and all payments are posted to patient accounts; verify all payments are posted per Practice parameters at the end of each
o Contact insurance companies to gather pertinent policy information for each patient; verify patient insurance at least 2-3 days ahead of patient appointments
o Complete closing duties to ensure restroom is stocked, reception area is clean, play area is clean, phones are rolled, electronics are off, door is locked, etc.
o Maintain a clean, welcoming front office environment at all times
o Ensure patient information is not compromised or confidentiality violated in accordance with HIPAA
o Participate in Practice marketing and patient engagement activities such as video creation, group photos, social media posts, community events, patient contests, etc.

REQUIRED SKILLS & ABILITIES
o Maintain a consistent record of predictable and reliable attendance
o Follow all verbal and written Patient Care Coordinator protocols and procedures established by the Practice
o Maintain a professional appearance and demeanor, handling situations with grace and poise
o Familiarity with dental terminology needed to effectively communicate with patients and team o Maintain strict compliance with State, Federal, and other regulations including OSHA, WC, State Dental Board, HIPAA, ADA, DOL, and the practice’s Human Resource policies.
EDUCATION & EXPERIENCE
o High school diploma or equivalent required.
o One or more years’ experience at a dental office in a similar position preferred.
REQUIRED CERTIFICATIONS
o CPR & first aid certificate (must be obtained by no later than 6-months after hire date)
PHYSICAL REQUIREMENTS
o Prolonged periods of sitting and/or standing.
o Must be able to lift up to 15 pounds at times.

Pay: $20.00 - $23.00 per hour
