Member of Leadership Team: Leadership Team members share responsibility for monitoring and driving organization wide strategic priorities, success indicators, and objectives and implement and execute programs and practices which serve the mission of the organization and reflect the vision and values of WEAVE. Specific Position Duties:

  • Manage daily agency operations to ensure reliable, consistent, and secure functioning of agency operations including maintaining/managing agency facilities, communications systems, building access/security systems, IT/IS systems & services, equipment, fleet vehicles and procurement processes so that all employees can work efficiently and effectively in their respective roles.
  • Directly supervise all Operations Team staff. Supervision includes, but is not limited to, managing staffing and activities to meet Department and Division priorities and goals; ensuring staff meet performance expectations applicable to all WEAVE employees and the specific job duties for each employee’s role; facilitating on-going and regularly scheduled supervision check-ins and team meetings; and providing guidance, feedback, and evaluations (both formal and informal) to employees consistent with WEAVE policies.
  • Provide, or identify and coordinate, appropriate training for Operations staff to ensure all staff members are equipped with the resources and skills necessary to perform their job duties and consistently deliver accurate information and services in a professional and responsive manner.
  • Assist CLCO as needed with identifying department needs, making recommendations on resources or budget needs and otherwise manage and maintain comprehensive plans to best utilize agency resources and facilities to meet operational needs.
  • Manage internal service ticket requests, including delegating responsibility as appropriate, and ensuring timely and accurate completion of work.
  • Review, update, and develop appropriate policies and procedures related to agency operations, facilities, equipment and procurement, consistent with other related agency policies.
  • Build and maintain vendor relationships; serve as primary point of contact for, and manage relationships with, operations related vendors including primary point of contact for after-hours emergencies. Work with CLCO to ensure responsiveness to emergency needs including building and fire alarms, security breaches, or facility emergencies.
  • In collaboration with the CLCO and other leadership, develop and maintain an emergency operations plan, trainings, and drills.
  • In collaboration with the CLCO, CFO and CEO, manage all aspects of operations-related insurance. Does not include management of policies related to Human Resources or Professional Liability.
  • Serve as primary point of contact regarding IT and IS matters and primarily manage user profiles for WEAVE staff, consistent with agency protocols.
  • Maintain all contracts/accounts, including payments, for agency-wide software subscriptions such as Office 365 licenses, virtual meeting, and services platforms such as Zoom, Docusign, and Doxy.me, and specialty software such as Adobe.
  • Supervise and ensure completion of routine maintenance or repairs of all WEAVE-owned vehicles.
  • Ensure WEAVE maintains a current and accurate inventory of all agency-owned or leased equipment.
  • Manage operations expenditures, including ensuring compliance with agency procurement policies and procedures.

Qualifications:

  • Bachelor’s degree, Associates Degree, Accredited Certificate and/or three years’ experience in business administration, business support, facilities or operations maintenance or a related field.
  • Proactive & innovative approach to operations management; clear understanding of key role operations plays in overall organization mission and success.
  • Excellent organization and time management skills; professional written and oral communication skills.
  • Excellent interpersonal skills and dedication to customer service. Must be able to build and maintain effective working relationships; must recognize the crucial role that office support plays in achieving agency objectives.
  • Detail-oriented, results oriented; able to work in a fast-paced environment and adapt to emerging needs while maintaining quality work.
  • Proactive, self-motivated, reliable; excellent problem-solving skills.
  • Must be able to interact in a professional, respectful, inclusive and welcoming manner with individuals from a variety of cultural and social backgrounds, life experiences and professions.
  • Proficiency in Office 365 tools including use of SharePoint & Microsoft Teams, and Microsoft Office Suite products, including Word, Outlook, Excel & Power Point.
  • Possess a valid California Driver’s License, reliable transportation, and proof of current auto insurance; successful pass of criminal background check.
  • Successful completion of Peer Counselor Training (post-hire requirement.)
  • Successful completion of Defensive Driving Training (post-hire requirement.)

Work environment is a busy office setting in a two-story building with stairs and an elevator, in residential program settings, or in commercial retail settings. Local travel (driving) may be required regularly. May need to lift and carry 25 lbs., extend both arms above the head and/or reach below the waist, stoop, squat, crawl, bend the back to retrieve items, climb stairs, or use an elevator. Employee may also need to remain in one position (i.e. sitting or standing) for an extended period of time while completing work tasks. Must be able to efficiently operate a keyboard and mouse or adaptive equivalent, write reports, take notes; utilize desk tools such as phones or calculators, and utilize larger office equipment such as printers and copy machines.
