The Office Coordinator leads by performing various administrative support duties and coordinates the team to ensure office tasks and functions are completed effectively. Tasks include, but are not limited to payroll reconciliation, timekeeping responsibilities for field crew, expense report reconciliation, onboarding new employees, scheduling travel arrangements, billing tasks and working with service providers.

Day in the Life

  • Prepare and reconcile location expense report for accuracy and compliance
  • Assists with Onboarding new employees in coordination with HR
  • Supports the payroll process and timecard reconciliation including prevailing wage calculations
  • Act as a liaison for customers, building security, and other internal service providers
  • Maintains the stock levels for office and break room supplies and orders supplies
  • May plan independently or work collaboratively with supervision on team social events
  • Ensures that all company-wide internal correspondence is distributed and posted
  • Utilizes internal reports to verify compliance with company and customer KPI’s
  • Ability to work Excel sheets to manipulate data by using PIVOT tables and VLOOKUP’s
  • Create or utilize reports to maintain proper flow of necessary information for jobs and customers (including emergency response incident reports)
  • Performs records administration and review (upkeep employees training and certifications)
  • Answer and direct phone calls
  • Data entry of daily work reports
  • Assists by being a point of contact for internal customers as a first level of contact or escalation
  • Performs other, related duties as assigned. There are duties that may not be specifically listed in this description, but which are within the general nature typically associated with the employee's level of work.

What you need to apply

  • High school diploma required
  • 2-4 years of experience in the field or in a related area.
  • Proven leadership experience by supervising and mentoring others
  • Able to write routine reports and correspondence, and to speak effectively before groups of customers or employees of organization.
