We are looking for someone who will provide administrative support to the Director of Operations, assist senior management, and interface directly with clients and employees in a variety of ways. The ideal candidate will be someone who thrives and becomes energized working in a dynamic and face-paced work environment. This position is an integral part of the team that will assist with day-to-day operations and helps maintain Operations and HR systems/processes.

EDUCATION AND EXPERIENCE YOU’LL NEED TO SUCCEED:

Minimum of 1 year of Office and/or administrative experience

  • A high school diploma or equivalent

Required: Ability to work Part-time EST

· Exceptional attention to detail

· Strong time-management, organizational, and prioritization abilities

· Effective communication and people skills via phone, electronically, and in-person

· Proven problems solving and critical-thinking skills

· Proven ability to multi-task

· Proven ability to serve and work dynamically across all levels of an organization

· Strong computer literacy, especially MS Office Suite

· Knowledge of human resources processes and best practices, preferred

· Familiar with social media platforms

· Knowledge of various microcomputer equipment with the ability to input, retrieve and format data

THIS ROLE WILL CONTRIBUTE IN THE FOLLOWING WAYS:

· Acting as second-in-command to the manager, and taking care of all duties in their absence.

· Assisting the Manager with operational issues.

· Assist with day-to-day operations of the operations functions and duties

o Provide clerical and administrative support as instructed by the manager

· Serve as the organization's first point of contact for external inquiries (email/phone)

· Assist with administration and maintenance by updating company records in the system

o Organize and maintain company records, process pertinent data

· Case Management for company files:
o Create cases in the system
o Coordinate with other departments as needed
o Follow up and respond appropriately to necessary parties involved to ensure client satisfaction
· Prepare documents and correspondence, including letters of verification, SOPs, company guides, custom documents, and more

· Maintain agendas and schedules for meetings and company activities.

· Assist with the revision and update of company policies

· Collaborate with the manager to identify areas for process improvements

· Keep abreast of the most recent organizational trends and best practices.

· Other tasks as needed or requested by manager
