The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the position of Office Assistant 3 at Cedar Creek Corrections Center (CCCC). This recruitment will be used to fill one full-time permanent position.

7:30 a.m. - 4:00 p.m. Monday through Friday
FACILITY PROFILE

CCCC is a 480-bed male facility. The facility is located in the Capital Forest 20 miles south of Tumwater. CCCC is co-located with the Department of Natural Resources and is a minimum-security facility. This facility houses minimum security incarcerated individuals and offers treatment, work, and vocational programs to help ready incarcerated individuals to transition back into the community. CCCC is a sustainability prison; some of the many programs include rehabilitation of ailing Western Pond Turtles, raising bees, training service dogs, gardening, and composting. The site includes two living units, a health clinic, education buildings, a gymnasium and support facilities. All incarcerated individuals work at this facility either on an off-site work crew or within the facility grounds.

Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all incarcerated individuals can learn to make choices that contribute to a safer society.

Duties

The Office Assistant 3 performs a variety of complex clerical projects and assignments such as preparing reports, preparing, reviewing, verifying, and processing fiscal documents, composing correspondence, responding to inquiries, establishing manual or electronic recordkeeping systems, and assisting facility mailroom with maintaining office standards and meeting timelines.

Specific duties include:


  • Work at the front reception desk in the Administration Building; meet and greet visitors to the facility and control visitor access to the building.
  • Review and log Extended Family Visiting applications; process and schedule dates for visits; interact with family members regarding visits over the phone and email; communicate with incarcerated individuals regarding visits via kiosk, kite, and in person.
  • Review incarcerated individual incoming/outgoing emails and approve/deny per safety and security policies/procedures.
  • Provide variety of complex clerical duties and assignments to managers to include but not limited to drafting, editing, proof reading communications/reports. Collects, logs, and assigns investigations tied to submitted incident reports.
  • Provide clerical support to Incident Command Post during incidents.
  • Archival, retention, and destruction of records and coordination of process.
  • Support mailroom activities.

Qualifications

REQUIRED QUALFICATIONS:

High school graduation or equivalent education.

AND

Ability to work competently in Microsoft Word and Excel, and to learn job specific DOC programs needed to perform work assignments.

DESIRED QUALIFICATIONS:

Two years' clerical experience.

Database experience, typing, filing, verbal and writing skills.

Knowledge of computers and Microsoft Office programs.
