Position Overview for Medical Office Receptionist:

We are looking for a compassionate and highly motivated receptionist to join our team at Empowered Arthritis and Rheumatology Center (EARC). You will be the face of our practice, warmly welcoming the patients to our new and growing practice. In addition, you have a very important role in collecting insurance information from each patient, which is critical for the operation of the practice. This position will support our rheumatology practice through various duties in the front office. You will be accountable for prioritizing your duties and ensuring patients are well taken care of.

Hours: Monday – Friday, 8:00 AM to 5:00 PM (total 32 hours work week), no weekend required, no on call

The receptionist at Empowered Arthritis and Rheumatology Center (EARC) is a full-time position. We can offer flexibility regarding earlier or later schedules for the right candidate. Responsibilities

  • Promptly and warmly greet patients as welcomed guests to our office, following office guidelines for efficient check in.
  • Verify and accurately document patients’ demographics and insurance information at every visit.
  • Tactfully and effectively discuss finances, insurance benefit information and financial options with patients.
  • Tactfully collect co-pays from patients on the day of the visit, providing a receipt.
  • Communicate clearly and tactfully with patients.
  • Respond promptly to inquiries and requests from patients, staff, doctor and referring offices.
  • Answer the phone promptly, using a warm and friendly voice, identifying the office, and self.
  • Accurately complete telephone messages and directs them to the proper staff member.
  • Schedule office appointments to ensure smooth patient flow and care.
  • Accurately and efficiently enter all data into the computer.
  • Accurately maintain patient appointment schedules.
  • Monitors no-shows, cancellations and follow up appointments.
  • Maintains a clean and uncluttered appearance of the reception and front desk area.
  • Promotes team concept by interacting with staff members using listening skills, respect, nonjudgmental attitude and problem-solving techniques.
  • Performs other related duties as assigned or requested by doctor or office manager.

Knowledge, Skills and qualifications:

  • Excellent interpersonal and customer service skills and passion for working with patients with chronic conditions.
  • Willing to provide compassionate and professional care to our patients.
  • Must be in good physical condition able to withstand the stress and demands of an active position.
  • Manual dexterity, good eye-hand coordination, adequate vision and hearing needed in daily work.
  • Ability to work with interruptions and to manage multiple priorities
  • A minimum of one year of experience in an outpatient practice is required; experience working in a rheumatology practice is preferred but not required.
  • Must be able to speak, read, write and understand English proficiently
  • Ability to multi-task and perform responsibilities such as simple bookkeeping, medical records, and medical abbreviations
  • Team player.
  • Experience utilizing in-office software.
  • Mid-level competency in computer skills and experience with MS Word, Excel, and Outlook required
  • Ability to work with interruptions and to manage multiple priorities
  • Knowledge of organization filing procedures and systems
  • Ability to answer multiple phone lines
  • Ability to communicate effectively with patients who have special needs
