This position is responsible for providing leadership and management direction to a highly visible and reputable independent general cardiology practice in Fort Worth, TX. This position will oversee the operation of the medical office and ensure accomplishment of the practice's strategic goals and objectives. This position works with physician practice staff, referring physicians, vendors, payers, and hospital administration. This position is responsible for all human resource activities. The Medical Office Manager engages in leadership decisions to ensure the continued delivery of high-quality patient care and engagement while maintaining a state of profitability and growth, and compliance with governmental regulations. This position is responsible for the management of all non-exempt office personnel.

The position reports directly to the COO and to the CEO/President.

Requirements Education/Experience

Requirements include:

A bachelor's degree in health care administration, business administration, or a related field.

A minimum of 7 years of experience, 4-5 years in a supervisory or management position, and excellent communication and people skills. Preference will go to candidates with experience as noted.

Knowledge, and experience in all aspects of clinical practice management and regulations related to Medicare, Medicaid, and commercial insurance, HIPAA, OSHA, and labor laws.

Duties and responsibilities include the following:

Human resource duties: Recruitment and hiring efforts for all vacant positions, ensure appropriate onboarding of personnel and providers to ensure competency and staff satisfaction. Works with physician to develop an annual salary plan for staff, ensures appropriate policies and employee handbook development or revisions. Must stay up to date on employment law and human resource requirements to ensure practice complies with all federal and state law on a variety of issues. Administers all benefit and leave, such as: FMLA, PTO, Extended Leave, cobra and etc. and ensure timely staff training on HIPPA and OSHA. * Ensures compliance with all federal, state and/or local regulations related to the operations of the medical practice.

Financial management and financial performance responsibilities: Help maintain a state of profitability and growth through data analysis and performance and scheduling matrix. Oversee reports regarding billing and collections, cash posting and collection at physical facility as well as insurance collections reporting. Interface with revenue cycle vendor on a weekly and as otherwise required basis.

Day-to-day operations of the medical practice including: Supervise and ensure adherence to company culture, policies, procedures, and standards regarding quality assurance, customer service, registration, financial counseling, productivity, data entry, record retention, and charting. Helps maintain efficient patient care flow through a team approach by planning and implementing customer and staff scheduling in conjunction with clinical staff leadership. Works with scheduling coordinator to make patient visits smooth, efficient clinic flow to maintain financial integrity and stability of the practice operation. Accountable for internal and external customer service, including troubleshooting when there is a complaint, and proactive process improvement address. Responsible for holding staff accountable for data accuracy and productivity, efficient workflow, measuring indicators and analyzing processes to improve practice performance. Responsible for Electronic Medical Records System and Practice Management Systems. Currently the group uses eClinicalWorks (EMR and PM), ensures all interfaces are maintained. Maintaining (with IT support) the office workstations. Supervises inventory, ordering and control of all medication, supplies, and equipment needed to deliver practice services. Analyzes data from practice to evaluate for trends in growth and productivity. Helps develop new approaches, policies, and procedures to continually improve the efficiency of the practice and the services performed. Develops and maintains productive relationships through effective and timely communication.

Compensation and Benefits:

Compensation: Full-time salaried position $50,000 to $70,000 depending on qualifications.

Schedule: Monday to Friday, 8:30 am - 5:30 pm
