JOB SUMMARY
In the role of Medical Assistant, records vital signs, gathers patient medical history, prepares exam room and prepares patients for examination, provides condition-specific patient education, as well as care coordination, under the guidance of the provider. In the role of Medical Scribe, documents the physician-dictated patient history, physical examination, family, social, and past medical history, procedures, lab results, and any other information pertaining to the patient’s encounter in the clinical medical setting. In the role of Patient Services Specialist, schedules, receives, and checks out patients within the practice accurately and promptly.

Job Specific:

Medical Assistant Role

1. Provides safe and effective patient care in the clinical setting. (EF)

2. Prepares treatment room for patient examination; verifies treatment of correct patient. (EF)

3. Interviews patients, obtains vital signs, such as pulse, blood pressure, temperature, height and weight, and documents information in the patient’s chart. (EF)

4. Triages patient phone calls, consults with provider as appropriate, responds promptly to patient questions and calls patients with test results. (EF)

5. Demonstrates critical thinking skills, decisive judgment and the ability to work with minimal supervision in a fast-paced environment. (EF)

6. Provides condition-specific patient education, as well as care coordination, under the guidance of the provider. Recommends community resources to meet patient and family needs. (EF)

7. Conducts inventories and orders medical supplies. Keeps all areas stocked and neat in appearance. (EF)

8. Performs EKGs with precision and accuracy. (EF)

9. Completes all documentation associated with daily responsibilities promptly and accurately. (EF)

10. Ensures prior-authorizations are in place when applicable to patient’s visit and/or testing.


Medical Scribe Role:

1. Compiles records to ensure physician and provider are prepared for patient visits. (EF)

2. Accompanies the physician upon patient interview and examination. (EF)

3. Documents the physician’s verbal patient history, including history of present illness, review of systems, past medical and surgical history, family and social histories, medications and allergies. (EF)

4. Documents physical examination findings and procedures as performed and verbally stated by the physician. (EF)

5. Documents the results of laboratory and radiographic studies as verbally stated by the physician. (EF)

6. Documents the correct time of patient care related activities, including physician to physician communication, family communication and re-examination of the patient as verbally stated by the physician. (EF)

7. May transport specimens, answer phones, assist patients, call physicians and similar non-direct patient care tasks as needed. (EF)

8. Along with practice leadership, communicates with hospital and practice HIM/Coding to ensure that all processes align with current organization and governing body standards. (EF)


Patient Services Specialist Role:

1. Greets patients professionally and politely at check-in window. (EF)

2. Answers and directs all incoming phone calls to the appropriate area professionally and politely by identifying our organization and self clearly and pleasantly. (EF)

3. Avoids placing calls on hold for long periods, should not exceed 2 minutes. Transfers to appropriate party.

4. Checks patients in and out accurately and efficiently. (EF)

5. Verifies all information to be complete and update as needed - makes changes as needed.

6. Obtains insurance card and scans into EMR.

7. Adds / updates financial group to correspond with payer type. (EF)

8. Correctly enters insurance carrier into patient’s demographics. (EF)

9. Schedules patients accordingly for both in-office and outreach clinics. (EF)

10. Prepares charts for Out-of-Town Clinics. (EF)

a. Printing last office notes from eMD and placing in hard-paper chart

b. Printing labs, ekgs, echos or any outside correspondence and placing in hard – paper chart

i. Correct MD

ii. Correct time slot

iii. Correct time allocated for visit type

iv. Correct financial class

v. Correct location

vi. New patient

vii. Who - referring MD listed

viii. Why - referring diagnosis

ix. Request all notes faxed to us prior to visit

x. New patient packet to be mailed to patient to complete and return prior to appt date

xi. Self pay patients need to be advised of payment due at time of service.

11. Prints Encounter tickets to nurses’ printer. (EF)

12. Confirms appointments and documents response in EMR. (EF)

13. Collects outstanding balances, co-pays and co-insurances due at time of check out. (EF)

i. Provides correct change as needed.

ii. Proficient with credit/debit card processes

14. Reconciles cash drawer using designated format, and signs along with manager.


Hospital:

  • Adheres to organization-wide and other applicable policies and procedures.
  • Day-to-day performance complies with the hospital’s Service Excellence Behavioral Expectations.
  • Performs within the prescribed limits of the hospital’s Ethics, Compliance and Confidentiality Program guidelines.
  • Performs within his/her professional Scope of Practice at all times.

Minimum Requirements

MINIMUM REQUIREMENTS:

  • High School education or GED

PREFERRED:

  • Medical Assistant Certificate
  • CMA training in patient treatment skill set listed in job description
  • At least one year experience in a physician's office or a clinic setting
