GENERAL ACCOUNTABILITY:
Under the direction of the Parts & Attachments Director and in concert with department goals, the Parts Order Administrator is a customer-focused individual that has strong attention to detail, and problem-solving ability to best serve our dealer network. This position works across the organization from the time the order is entered until the invoice has been paid, and is motivated to assist the customer if they have a concern in any area of the order process. Additionally, this person will build and maintain relationships with Manitou subsidiaries, carriers and freight forwarders.
DUTIES & RESPONSIBILITIES:
- Daily support and processing of various requests submitted via phone, email, and internal portal, with a sense of urgency
- Handle all inquiries regarding order entry, order status, and complaint resolution. Including pricing issues, shipping errors, and other related issues.
- Understand the customer base and expectations. Service needs accordingly.
- Process returns Issue/invoice credits
- Communicate lead times and shipment confirmations to Manitou Subsidiaries, and dealer network
- Plan the mode of transport for large export orders and make the necessary reservations with freight agents.
- Prepare shipping documents for international shipments adhering to federal regulations and in concert with freight forwarders and customs brokers. Populate country of origin to support free trade agreements and correct trade balance data
- Manipulate excel files to process within ERP and other required reporting as needed
- Support customers by providing online instructions and training on ordering processes.
- Provide customers with pricing and availability information.
- Keep parts team informed of concerns and occurrences
- Run and monitor various reports.
- Take on projects or other assignments assigned by the manager.
- Adhere to company policies and procedures.
EXPERIENCE:
- Proven experience with export orders and documentation.
EXPERTISE:
- Ability to handle pressure situations and problem resolution independently
- Strong verbal and written professional communication
- Competent in Google suite, specifically Google Sheets
- Demonstrated positive interpersonal skills which promote teamwork and customer satisfaction
EDUCATION:
- High School degree required with experience in customer service, or sales organization with strong attention to detail, and customer focus.
INTERNAL & EXTERNAL CONNECTIONS:
- Internal customers the position will interact with include subsidiaries located in South Africa, Israel, France, Singapore, Australia, LATAM.
- External customers the position will interact with dealers located in LATAM, Israel, and Australia.
LOCALIZATION AND TRAVEL EXPECTED:
- This position is located in West Bend, WI.
- Local travel is expected for this position.
