Duties and Responsibilities:

  • Answering and routing all incoming calls
  • Greeting guests, visitors and staff members
  • Managing time schedules across multiple conference rooms
  • Preparing conference rooms before each scheduled meeting to include coordinating catering and refreshment needs when applicable
  • Maintaining Executive Break Room
  • Serve as back up to office administrator for the functions of mail gathering/dispersing, ordering supplies, coordinating vendor deliveries & services
  • Coordinate messenger pick-ups, faxes and deliveries, and maintain visitor log
  • Light typing which may include opening files, envelopes, letters
  • Assisting with copying, scanning, binding of documents
  • Arranging travel, including the management of in-transit schedule and itinerary changes
  • Overseeing the collection and assembly of information for, and distribution of meeting agendas and collateral materials
  • Assisting in preparation of travel and expense reports
  • Assisting in preparation of PowerPoint presentations, travel binders and meeting materials
  • Other duties as assigned

Skills and Experience Required:

  • Switchboard/Receptionist experience necessary
  • 5+ years’ experience in a corporate environment in a dual role as a receptionist and executive assistant
  • Excellent interpersonal skills
  • Strong commitment to excellence
  • Highly professional, self-motivated, focused, positive-minded, presentable, and affable
  • Strong written and verbal communication skills
  • Highly dependable and efficient
  • Proficient in Microsoft Word and Excel
