Job Duties

The Virginia State Police is seeking qualified applicants for an Executive Secretary position located in the Bureau of Support Services (BASS), Property and Finance Division, located in North Chesterfield, Virginia. This position serves as the office manager by independently coordinating the workflow process of the division, providing advice and assistance to the division's senior management, serving as the Division Commander's confidential secretary, and ensuring the accuracy of reports by interpreting and implementing policy. Additionally, this position serves as the liaison between Property and Finance and the other divisions.

  • Provides a variety of administrative and clerical support for the Property and Finance Division, the Division Commander, and Assistant Property and Finance Officers.
  • Provides program support utilizing computer skills to compose and create documents, forms, reports and presentations.
  • Maintains division files.
  • Provides customer service.


Minimum Qualifications

  • Considerable knowledge of modern office practices and procedures as well as operation and general maintenance of office equipment; proper business grammar, spelling, punctuation; and basic computational arithmetic.
  • Skill in operating computers and using Microsoft Office applications (Word, Excel, PowerPoint) for the purposes of typing, data entry, desktop publishing, and producing various types of documents.
•Skill in effective keyboarding to include data entry functions to include collecting and assembling information. •Demonstrated ability to communicate in English, both orally and in writing; to establish and maintain electronic and/or paper filing systems; work with detailed information; to meet deadlines; to review information; to follow oral and written instructions; and to work independently.
  • High school diploma or equivalency.
  • Significant secretarial experience and demonstrated experience in office operations and document preparation.
  • Must be qualified to serve as a Notary Public.
