Job Description


The C-Level Executive Assistant (EA) will support the CEO and Chief Strategy Officer and report to the Chief of Staff. In addition, the EA will assist with the needs of other departments on an as-needed basis. The selected candidate will work independently, performing a wide range of complex and confidential work. The EA must be invested in ensuring they understand what is most important to the CEO and Chief Strategy Officer. The key to success is grounded in the relationship established between the Executives and the EA. The payoff is that the relationship is solidified, trust is established, what needs to be learned has been identified, and resources have been put into place to ensure that the knowledge is acquired and applied.

Job Responsibilities:

As a C-Level Executive Assistant (EA), fully support the CEO and Chief Strategy Officer by proactively:

  • Anticipating their needs; ensuring all required information is finalized and submitted timely to meet deadlines and deliverables while:
    • Assisting in preparing, editing, proofreading, and formatting presentation materials.
    • Identifying and evaluating potential problems and resolving them effectively and efficiently.
    • Easing decision-making with a keen sense of timing.
    • Serving as a liaison, as directed, for matters of importance.
    • Working quickly and efficiently; remaining flexible to shifting priorities.
    • Skillfully orchestrating troubleshooting activities, follow-up of all details, and responding to the unexpected.

Meeting Arrangements / Event Planning

  • Tracking, facilitating, and resolving issues with their calendars and priorities.
  • Facilitating meeting arrangements, including reserving conference rooms, and ensuring necessary supplies, equipment, refreshments, etc., are available.
  • Coordinating events, activities, and functions and assisting the Chief of Staff in coordinating C-suite events and/or outside meetings (e.g., Senior Leadership off-sites, Town Halls, and Board meetings).

Workflow Management / Collaboration and Mentorship with EAs and Administrative Team

  • Applying skills in current technology to ensure a well-managed workflow by:
    • Creating and maintaining a system for organizing and storing electronic and hard-copy information, as requested.
    • Elevating efficiency and effectiveness of existing administrative processes in partnership with the Administrative team.
    • Performing administrative backup support for other EAs.
    • Providing leadership and mentorship to other EAs.
    • Managing independent projects to fruition successfully on an as-needed basis.

Travel Arrangements, Expense Reports / Invoices, and Purchase Requisitions

  • Reviewing and submitting invoices and purchase requisitions.
  • Reconciling monthly Corporate Credit Card statements.
  • Coordinating travel (domestic and international) via Corporate Travel Manager by:
    • Providing precise details of travel and agendas.
    • Being proactive in all travel logistics and resolution of conflicts.
    • Reconciling expense reports.
    • Preparing and submitting travel expense reports timely.

Qualifications


Required Experience/Skills:


  • 7+ years of experience supporting a C-Level Executive.
  • High level of proficiency using Microsoft Office programs, such as Teams, Word, Excel, Outlook, PowerPoint, SharePoint, and Zoom.
  • Experience in coordinating and managing events.
  • Strong organizational skills, including the ability to multitask.
  • Ability to handle projects and communications of a highly sensitive and confidential nature, where discretion is critical.
  • Regularly practices tact, discretion, initiative, and independent judgment within established guidelines.
  • Attention to detail in all aspects of the role; high-quality standards.
  • Excellent writing, proofreading, editing, and verbal communication skills.
  • Proactive and self-directed.
  • Strong interpersonal skills and emotional intelligence.
  • Ability to be available after hours.
  • Vested in the interest of the integrity of the job.

Preferred Experience/Skills:

  • Bachelor’s degree.
  • 10+ years of experience as an Executive Assistant.
  • Notary Public.
