SUMMARY
Responsible for producing bank correspondence, transcription and preparation of committee reports and minutes. Schedules and assists all managers in the Executive area, especially CEO. Manages Bank event planning. Keeps official corporation records and executes administrative policies determined by or in conjunction with other officials by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Transcription of minutes for various committee meetings such as: Loan Committee, Technology Committee, Compliance Committee, Marketing Committee, Employee meetings, etc.
- Prepares agendas and participant packets for meetings listed above as well as maintaining committee files and board reports.
- Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
- Acts as custodian of corporate documents and records.
- Types correspondence including memos, letters, and mailings; credit file comments from debit/credit slips or transcriptions; and policy updates.
- Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance.
- Organizes and maintains file system, and files correspondence and other records.
- Answers and screens executive team telephone calls, and arranges conference calls.
- Coordinates executive schedules and makes appointments.
- Greets scheduled visitors and conducts to appropriate area or person.
- Arranges and coordinates travel schedules and reservations.
- Conducts research, and compiles and types statistical reports.
- Creates and maintains database and spreadsheet files.
- Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
- Prepares records such as agenda, notices, minutes, and resolutions for corporate meetings.
- Directs preparation and filing of corporate legal documents with government agencies to conform with statutes.
NON-ESSENTIAL DUTIES & RESPONSIBILITIES include the following.
- Makes copies of correspondence or other printed materials.
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
- Orders and maintains supplies, and arranges for equipment maintenance.
- Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES
There are no supervisory responsibilities.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
College Degree Preferred. High school diploma or general education degree (GED) plus additional secretarial training; or two to three years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to write routine reports and correspondence. Ability to speak effectively before groups of clients or employees of organization when needed. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
Must have working knowledge of word processing, spreadsheet and basic database management and presentation software.
Must be able to operate PC and printers, copier.

Has frequent contact with all internal departments and employees of the Bank.

COMMENTS
Position requires the ability to occasionally work before or after normal business hours to prepare for and/or attend various bank meetings, events and training sessions. This is an onsite position based at our Creve Coeur, Missouri, Branch.
