POSITION PURPOSE:
The Executive Assistant to the CEO will provide high-level administrative support to the CEO and other senior staff. Administrative support may include management of calendars and scheduling; preparation of correspondence, materials, and travel arrangements; and communication and coordination with team members across the company. Creating and processing PO's and invoices as needed. Communication and support for the Board of Directors as needed or requested.

This role will be based in Winchester, VA.
Experience
- At least five years' experience in administrative assistance supporting a senior level member of management
- Scheduling and planning of meetings, travel, and/or events required
- Meeting material preparation and presentation building required
Skills
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced and at times stressful environment
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
Education
- High school diploma required, Bachelor's degree in Business Administration or related field preferred
- Considerable experience will be considered in lieu of a degree
ESSENTIAL FUNCTIONS:
- Provides high-level administrative support and assistance to the CEO and/or other assigned leadership staff.
- Manage CEO calendar and schedule to make certain that identified priorities are addressed in a timely fashion, helping to ensure that his/her time is focused on critical needs and issues.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, expense reports, scorecard maintenance and other documents for the CEO, senior staff members or Board of Directors as requested.
- Arranges travel and accommodations for the CEO.
Handle confidential matters (both operational and personnel) for the President and CEO as requested, including direct and frequent interactions with his direct reports and with other key management members, as well as the Board of Directors.
- Schedules and may be requested to attend executive meetings, distribute agendas, or record minutes.
- Manage or assist with planning and execution of key meetings/conferences as requested. These may include activities such as: Board of Director meetings, Key leadership meetings/calls, retirement events, training courses, monthly meetings/calls, sales meetings, shareholder meetings, etc.
- Receives incoming communication or memos on behalf of the CEO, reviews content, determines importance, and summarizes and/or distributes content, as needed.
- Serve as the administrator for Board Vantage, the digital portal for Board of Directors meeting materials.
- Performs office tasks including email and phone call management, maintaining records, ordering supplies, and performing basic bookkeeping and system administration.
- Provide training and support as requested for new administrative assistants.
- Additional duties as assigned.
SCOPE & EXPECATIONS:
- Position requires prolonged periods at a desk and working on a computer.
- Must be able to lift up-to 15 pounds at times.
- Reports to: CEO
- Travel Requirements: Some in and out of town travel may be required (less than 10%)
- Supervisory Responsibilities: Typically, this position does not have supervisory responsibilities
