The Job You Will Perform:

This role will perform complex administrative duties for a Senior Vice President of International Paper. This is a fast paced work environment which requires excellent composure and flexibility. The successful candidate must be highly self-motivated and possess the ability to prioritize and meet strict deadlines. This position is located in Memphis, TN.

  • Plan all aspects of key leadership and executive meetings.
  • Maintain calendars, including coordinating meetings and appointments. Monitor SVPs’ frequently changing calendar to ensure time management. Responsible for other office functions including mail processing, delivery of materials for review/signature, telephones, greeting visitors, following through on assignments given by the SVPs.
  • Ensure managers have the appropriate material for various meetings, and coordinate schedules and appointments, as required.
  • Compile and manage Outlook e-mail system including prioritization of incoming messages and addressing urgent matters.
  • Responsible for making extensive travel arrangements.
  • Assist in maintaining organizational charts for the business.
  • Screen telephone calls and visitors and resolve routine and some complex inquiries.
  • Process expense reports utilizing an on-line system, Concur. Complete expense reports in strict accordance with company policy.
  • Interact with internal and external senior level executives, Board of Directors, and customers.
  • Coordinate and control domestic and international travel itineraries with aviation department, hotels, and car services.
  • Organize visas, passports and immunizations.
  • Work with outside groups for conferences, meetings and engagements requiring presentations.
  • Participate in Lead Team meetings as required.

The Skills You Will Bring:

  • College degree preferred.
  • Minimum five years executive administrative support experience required.
  • Requires heavy follow-up and attention to detail.
  • Excellent PC skills including Microsoft Office, SharePoint, Power Point, Excel, Word & Internet
  • Must be an extremely organized, reliable individual.
  • Great deal of flexibility, enthusiasm and energy; must be a team player.
  • Excellent telephone and communication skills; able to interact effectively and courteously with executive management, employees, Board of Directors, and customers.
  • Must have excellent written and verbal communications skill.
  • Successful candidate will possess a positive attitude, demonstrate a willingness to ask pertinent questions, and be an active learner.
  • Ability to handle highly confidential issues in a professional manner.
  • Exercises sound judgment with the ability to prioritize and proactively resolve issues.
  • Executive presence is required.
