Job Summary
The Office of Career Exploration and Development (CXD) at Bowdoin College is seeking a highly motivated and organized individual to fill the role of Employer Relations and Administrative Coordinator. This position will play a key role in supporting the day-to-day operations of the CXD office and executing a range of Employer Relations tasks. The successful candidate will be a self-starter with excellent communication skills and the ability to manage multiple tasks and projects effectively.
The Employer Relations team connects Bowdoin students with employers and jobs across all industry sectors and works with the Advising team at CXD to help students land jobs. We are interested in developing creative new ways to forge partnerships with employers and facilitate meaningful employer-student relationships. We work closely with employers to design and customize engaging virtual and on-campus hiring events that reflect company brands and cultures and drive student interest.
Key Responsibilities:
  • Serve as the first point of contact for the CXD office by monitoring and directing inquiries to the office email inbox and welcoming and directing office visitors in reception area.
  • Manage front-desk student staff and provide guidance and support to student workers.
  • Execute Employer Relations tasks, including job postings, marketing materials, and event support, as assigned by the Associate and Assistant Directors.
  • Implement marketing plans that include social media marketing, targeted emails, weekly events/hiring newsletter, table tents, and additional outreach to advisors and campus partners.
  • Help with organizing and managing logistics for on-campus events.
  • Support the Associate Director in communicating upcoming jobs and events to the Advising team.
  • Manage office-wide administrative operations, including handling office records, expenses and supplies; coordinating the interviewing and hiring of new staff; overseeing the office calendar; and assisting with special office-wide projects as needed.
  • Develop and share technical expertise on Handshake, CXD’s jobs and events platform.
  • Serve as first point of contact between CXD and Information Technology, Facilities, Human Resources, and other departments on campus.
  • Handle onboarding tasks for new employees including setting up their workspace, making sure they have access to and understand how to use computer and commonly used Bowdoin platforms, use of office equipment and other tasks as requested.
  • Provide scheduling support for the Executive Director, such as coordinating outings weekly staff meetings and meetings with multiple stakeholders across the campus/externally.


Hourly range for this position is expected to be: Minimum $20.00 – Maximum $25.00 per hour.

Education/Skills Requirements
Required:
  • Exceptional organizational skills and the ability to manage multiple tasks and projects effectively
  • Excellent verbal and written communication skills
  • Strong customer service skills with the ability to handle many external correspondences at once.
  • Ability to work independently and as part of a team


Preferred:
  • Bachelor’s degree preferred.
  • Familiarity with and interest in marketing and graphic design


Experience Requirements and/or Equivalents
Required:
  • Familiarity with Microsoft Office Suite, and experience with budget monitoring, invoice tracking, and payment


Preferred:
  • Working experience with web editing tools and software; Working knowledge of Adobe Creative Suite (Photoshop, InDesign, etc.) and interest in graphic design.
  • Previous experience with customer relationship management (CRM) tools a plus.

Standard Work Days and Hours
  • This is a full-time, 1.00 FTE, year-round position with standard hours of 8:30 a.m. to 5:00 p.m. M-F, with infrequent evening commitments during the school year.
  • This is an in-person role based in Brunswick, though some flexibility for hybrid work may be provided when classes are not in session and students are not present, at the discretion of the Associate Director.
