We are recruiting an experienced administrative and clerical professional who will be responsible for supporting the Advancement Division, which secures both philanthropic and earned revenue from individuals, foundations, and government contracts. The ideal Administrative Assistant possesses the desire to work with a strong revenue generating team in a fast-paced environment. This individual provides support to the Advancement Division and is integral member of the team.

Principal Duties & Responsibilities—Duties and responsibilities may include, but are not limited to:

Contract Administration

o Administer the Children with Special Healthcare Needs (CSHCN) Grants

  • Invoice NDC and Fathers Network Grants including procuring and organizing supporting documentation
  • Partner with Accounting team to ensure revenue received is aligned with contract and agency needs
  • Provide annual program reports on contract outcomes
  • Provide linkage with other CSHCN agencies
  • Coordinate CHIF completion

o Administer Developmental Disabilities Administration Contracts (DDA) for King and Snohomish Counties

  • Provide monthly invoices and supporting documentation for DDA and Part C in accordance with current County DDA and Kindering guidelines
  • Ensure positive working relationship and accurate invoices on behalf of Kindering
  • Attend and act as a Kindering representative at bi-monthly Contractor meetings
  • Partner with Accounting team to ensure revenue received is aligned with contract and agency needs
  • Act as primary point of contact in day-to-day interactions with local lead agencies
  • Participate in annual audit work with King and Snohomish Counties including partnering across departments and campuses to ensure contract compliance and clean audit results

o Administer Early Support for Infants and Toddlers (ESIT) Contracts

  • Provide monthly invoices and accurate enrollment counts in accordance with King and Snohomish Counties and Kindering guidelines for Part C services,
  • Ensure positive working relationships and accurate billing through collaborations with County staff
  • Attend and act as a Kindering representative at bi-monthly Contract meetings
  • Collaborate with School District Representatives and Kindering Staff to determine which children will be eligible for Part B services and Extended Year Services in May, June and July.
  • Participate in annual audit work with King and Snohomish Counties including partnering across departments and campuses to ensure contract compliance and clean audit results. Provide monthly invoices and accurate enrollment counts in accordance with the School District’s and Kindering guidelines for Part B services.
  • Act as the Kindering’s point of contact for the Part B children, including the collection, staff training, and distribution of IEPs

o Administer other grants and contracts as required/assigned, including subcontracts

Medicaid Administrative Claiming Program Lead

  • Administer Medicaid Administrative Claiming program including monthly invoicing and accounts receivable
  • Support annual training program for Random Moment Time Study including scheduling, assigning, coordinating and supporting a deeper understanding of Random Moments and revenue potential
  • Provide quality control
  • Provide or support outreach, intensive informing, care planning, coordination, anticipatory guidance for complex health needs, assistance to access services, consultation, resource development, interagency coordination, training, program planning, quality management, and administration to support Medicaid programs.

Data and Reporting

  • Produce monthly reports of the agency’s growth, evaluation outcome statistics, family contact time reports, AMA reports and referral statistics for the management team

HIPAA Compliance

  • Act as HIPAA Privacy Officer for Kindering
  • Provide training and support for HIPAA-related questions, decisions, or breaches
  • Maintain current HIPAA information/training and inform staff of federal, state, and local regulations pertaining to confidentiality and privacy practices.
  • Lead protection order compiling and distribution
  • Respond to staff questions about legal subpoenas and court testifying.
  • Act as records request lead and approve information requests and ensure accuracy and HIPAA compliance of records compiled for family doctors, early support agencies, court requests, etc.

Required Education & Experience

  • B.A degree in a field related to business administration, communications social services or medical billing or equivalent combination of education and work experience
  • Advanced knowledge and practical experience using Microsoft Office products including Excel and willingness to learn new technology platforms
  • History of building strong relationships cross-culturally with both individuals and entities and collaborating effectively cross-functionally.
  • An inherent passion to drive results, take initiative, prioritize work, multi-task, manage time effectively, and make commitments.
  • Verbal and written communication skills that reflect the awareness of cultural differences and power differentials, the ability to connect with different audiences and strong influencing and negotiation skills
  • Administration of multiple, concurrent contracts from private entities and governmental bodies preferred

Minimum Prerequisites

  • Pass Washington State DSHS criminal history and background check and FBI fingerprint check
  • Demonstrate organizational skills, ability to follow through on assignments on time and with accuracy, provide clear written and verbal communication, keep up-to-date written and electronic documentation
  • Strictly maintain confidentiality of all client and employee information
  • Demonstrate proficiency in using MS Office
  • Pass tuberculosis test
  • Ability to show proof of current immunizations, including COVID-19 and MMR vaccine or titer test*

This is a 40 hour per week position that works Monday-Friday with 28 total days off and up to 11 paid holidays per year. Infrequent flexibility or overtime may be requested to support evening or weekend fundraising events.
