Church Administrative Assistant

I. BASIC FUNCTION

Reporting to the Pastor/Head of Staff and working closely with the Treasurer, Assistant Treasurer and Clerk of Session, performs church receptionist duties, financial duties, administrative duties and offers support to staff, Elders, and Deacons. Handles church communication through print and on line formats with accuracy and meeting timelines. Acts as the face of the church for calls and visitors. Works as an essential part of a small team to ensure details of the church is handled in an efficient and appropriate manner.

II. RESPONSIBILITIES

A. Answers phone appropriately and takes messages- ensuring all correct and required information is noted and forwarding messages appropriately. Provides administrative support to staff and church officers and volunteers. Greets in person visitors and provides information and/or assistance. Answers emails as required. Distributes mail. . Maintains all office and church supplies and office equipment Handles normal office duties such as deposits, faxes, emails, copies, etc. Handles church activity in a confidential manner.

B. Performs financial duties including: paying approved bills, balancing the checkbook, payroll checks, handling contributions, year end contribution reports, invoices, credit card account and reconciliation. Pays monthly 403B. Records memorial gifts and communicates with contributors and family. Assists financial committee as required.

C. Acts as keystone for church communication. Maintains the church calendar and maintains and updates church directory, including birthday and anniversary as well as mailing information. Prepares weekly Sunday bulletins and special service bulletins and choir and large print hymns. . Completes weekly liturgist guides and sends to appropriate personnel. . Maintains devotional and prayer list as well as website and calendar. Assists newsletter editor. Communicates with homebound and new members, mailing and collecting information. Assists Clerk of session to maintain online church directory. Coordinate, layout and disseminate communication using google docs. Updates and handles media projects as required.

D. Maintains supplies of items for church including prayer cards, weekly worship material, and new member folders

F. Other duties as assigned or required

III. INTERNAL AND EXTERNAL RELATIONSHIPS

Works as a team member within and around the church to maintain a high level of professionalism. High level of professionalism, extreme confidentiality and excellent communication skills are required. Key to work with multiple church positions and personalities. Pleasant to visitors, courteous to co-workers, offering a friendly, helpful presence.

IV. RESPONSIBILITIES

Responsible for in office functions including financial, communication and administrative. Requires ability to handle multiple software platforms and multiple daily tasks. Independent worker that does not require task reminders.

V. WORK HOURS AND TRAVELING

General Office hours. No traveling expected but may be required, depending upon assistance with case.

VI. SPECIAL QUALIFICATIONS

High school diploma required at a minimum. Math, reading and writing skills required, with ability to use and learn software, including MS office, QuickBooks, PowerPoint, google docs at a minimum. Must be detail oriented, flexible, self directed and able to solve problems within a team setting. Pleasant, professional presence. Proof of ability to be responsible, proactive and work independently as well as within a small team is required. Must be 18 years or older.

Job Type: Part-time

Pay: $15.00 - $24.00 per hour
