The Developer Division Team is seeking a Business Administrator to provide excellent team support end to end. This position will be supporting a Program Management Director as well as their team. The ideal candidate for this role will need to be able to navigate and change directions quickly within a fast-paced environment, possess stellar interpersonal skills, initiative, demonstrate good judgment, the ability to maintain confidentiality, set priorities and handle multiple tasks simultaneously. Being detail oriented and having consistent and timely follow-through will be essential to success.

Responsibilities

  • Support calendar management for community spaces as needed, based on direction from others. Helps to prepare meeting setting (e.g., booking rooms, troubleshooting virtual settings, providing food). Learns to manage ambiguous situations, with direct guidance from colleagues.
  • Learns to collaborate internally with lead admins while gaining knowledge from peers and managers. Begins to understand how to build a network. Learns to take direction and prioritize multiple requests from admins, teammates and managers.
  • Learns to understand their organization's culture and business admin charter. Participates in the Business Support community. Engages within the community and attends networking events, trainings, etc. Shadows others and learns from others.
  • Helps to provide onboarding support for new employees, vendors, and interns, under the direction of team members (e.g., ordering new hire equipment, setting up workstations, distribution lists, security groups).
  • Supports team experience activities as needed. Assists team with execution of event logistics (e.g., set up, tear down, catering arrangements) under the direction of colleagues. Supports team morale and building team dynamics.
  • Proactively manages supply inventories (e.g., store room, hardware, office supplies, snacks) as needed. Begins learning discretionary budgeting and company finance policies. Relies on guidance from colleagues.
  • Assists with team space move logistics as necessary.
  • Acting as interim approver on team expense reports, ensuring coding accuracy.
  • Cross collaborating, planning, and support including All Hands, morale events, and other group meetings as needed.
  • On-Boarding/Off-boarding incoming and outgoing employees, interns, etc.
  • May begin to shadow and learns travel tools and policies.

Qualifications

Required Qualifications:
  • Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Background Check Requirements: Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings: Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.
Preferred Qualifications:
  • Associate's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • Ensure confidentiality of highly sensitive material with tact and professionalism.
  • Desire to take on big challenges and the ability to see the big picture as well as the details.
  • Ability to react with appropriate urgency to situations and requests.
  • Attention to detail with efficient problem-solving and troubleshooting skills.
  • Cross-team collaboration and organizational skills.
  • Consistently demonstrate a can-do and customer service attitude.
  • Ability to lift and move standard office equipment (i.e. computers and peripherals).
  • Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.

Business Support ATR-B - The typical base pay range for this role across the U.S. is USD $18.46 - $33.51 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $26.78 - $38.75 per hour.
