Position Summary:

The Assistant Crew Coordinator will assist with all of crew related matters as directed by the Supervisor/Manager for all yachts under management in the Fort Lauderdale office. The goal is to provide suitable qualified crew for the assigned vessels as required by the Company and in accordance with STCW95 and ISM Code requirements

Key Duties & Responsibilities (not limited to)

  • Provide each crew member with a contract of employment - Seafarer Employment Agreement (SEA). Ensure that each crewmember has the correct qualifications and ensure all crew have passed a medical fitness examination with an approved doctor before employment.
  • Maintain the status of crew records in the company database for the assigned yachts.
  • Perform background reference and security checks and/or drug and alcohol testing on prospective crew-members.
  • Manage crewing needs such as visas, discharge books, CEC, employment verifications, exit forms and flights if any.
  • File crew list, check that the yacht is manned according to Safe Manning document, receive and file crew certificates, documents and passenger lists.
  • Ensure each crewmember is enrolled in the crew medical plan and assisting with the claim handling with crew medical / P&I with the insurance brokers if needed.
  • Assist with making wage calculations and arrange for payment of salaries in cooperation with the dedicated Yacht Administrator.
  • Works well with internal and external clients and within the Fraser team organization.
  • Works independently and uses discretion in a variety of functions.
  • Monitor crew certificates and documents remain valid.

Job Essential Functions (essential skills, experience and qualifications)

Other Responsibilities:

  • Verify periodically the status of records in FLY (Fraser Linker Yachts) for the assigned yachts.
  • Assist when requested with securing appropriate health / Personal Accident insurance for crew members.
  • Identify and recommend crew safety weaknesses and assist master with training proposals (in liaise with the DPA).
  • Assist the Technical Superintendents and Yacht Administrators in providing logistical support.
  • Advise and assist the Master in obtaining endorsements and required crew certification.
  • Handling and forwarding of crew mail, when applicable
  • Assist when requested with any proposals for new business
  • Will undertake any additional tasks reasonably assigned by the Manager Yacht Services
  • Expected to travel at any time to visit an owner, his representative, a yacht or any other person connected to a yacht.
  • Work with the Technical Superintendents and Yacht Administrators on the induction of new Captain’s and new yachts into the fleet.

Skills:

  • Fluency in English is a requirement. The ability to speak a second language is a plus.
  • Computer literate; proficient with MS Word, Excel and Outlook.
  • Ability to communicate professionally and effectively with yacht management team, captains and crew.
  • Organized and disciplined, efficient in keeping strict control on date validity and deadlines in view of all crewing matters.
  • Good communication skills, allowing and efficient contact with the Captains of the managed yachts.
  • Maritime Labor Convention 2006 (MLC) knowledge is essential, general knowledge of maritime regulations, International Safety Management Code, and STCW 95 (as amended in 2010) crew training and certification requirements are a plus.

Experience & Qualifications

  • One year of experience in crew administration, preferably in the maritime or yachting sector.

Qualifications

Associate's or Bachelor’s degree in administration, or related field preferred.

Relevant work experience may be substituted for educational experience.

WORK ENVIRONMENT AND PHYSICAL ABILITIES

Work Environment

Work is conducted most often indoors in an air conditioned, illuminated office environment and periodically outdoors inspecting boats, meeting with yacht captains, and crew aboard vessels, at ports, and on floating barges.

  • Exposure to harmful chemicals or conditions may occur while inspecting yacht engine rooms or at ports.
  • Local travel may be required.
  • Utilization of standard office equipment is used in the working environment.
  • Motor skills and senses needed to carry out duties include talking, listening, typing, writing, visual inspection of documents and spaces.

Physical Abilities

  • Light lifting, pushing, walking, climbing ladders and stairs on boats and climbing into small spaces.
