The Administrative & Processing Specialist acts as the primary point of contact by personally providing prompt, efficient, and high-quality service to clients by directing clients to the appropriate team member and assisting clients and/or advisors with service requests.
PRIMARY RESPONSIBILITIES:
- Greets and accommodates incoming clients.
- Answers incoming phone calls and directs clients to the appropriate team member for assistance.
- Processes customer payments and handles billing questions.
- Prepares evidence of insurance, insurance certificates, auto identification cards and other coverage related documents
- Records data into appropriate insurance company and firm software programs
- Process and complete endorsements on carrier websites
- Reviews underwriting memo’s and takes appropriate action to address
- Assists Advisors with applications and trailing documents as needed
- Completes special projects as assigned
- Assists in set up of events as needed
- Looks for opportunities to improve the firm, business segment and processes
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- A current 4-40 license as required by the State Department of Insurance to provide risk management consulting or risk transfer solutions as necessary in states where the organization functions, or be willing and able to obtain the license within 90 days of starting in the role.
- One to two years’ experience in the insurance industry a plus
- Basic understanding of insurance coverages, preferred
- Strong analytical, research and problem-solving skills
- High attention to detail
- Ability to work with time constraints
- Strong verbal and written communications skills
- Moderate to advanced knowledge of Microsoft Office Suite and the ability to learn other appropriate insurance company and firm software systems
TECHNICAL, COMPUTER, AND SYSTEM-SPECIFIC SKILLS REQUIRED:
- Moderate to advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to learn any other appropriate program or software system used by the firm as necessary
