Position Overview
To advance the mission of University of North Texas through Food Service. This position will ensure production- and delivery-related parts of the project process are executed efficiently, as well as take the lead on all administrative and marketing financial-related items. This includes facilitating and overseeing procedures for dining-related billing for Group Tours and inter-departmental transactions, holding a PCard for marketing purchases, and negotiating with outside vendors for contractual services. They will also supervise, schedule and approve timesheets for all student employees.

Minimum Qualifications
Bachelor’s Degree and three years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

  • Advanced Microsoft Office skills.
  • Knowledge of accounting/budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications
  • Certification in Microsoft Office Suite, including Excel, Word, and Outlook
  • Proficiency with Asana
  • WordPress, basic HTML and CSS coding, website content management experience
  • Client service/account management experience
  • Familiarity with Texas government and university purchasing policies

Job Duties

o
This position will support regular office operations, lead customer service interactions, assist with meal plan-related processes, and oversee the production and delivery of marketing items, including meal vouchers, product labels, and more

o
This position will play a key role in assisting with financial bookkeeping and purchasing, including maintaining a PCard.

o
In addition to office support, this position will also assist with minor website content updates, creating student schedules, monitoring Dining Services’ social media accounts, and coordinating golf cart usage and maintenance.

o
Customer service – phones, emails, walk-ins, and occasionally social media messages.

o
Marketing production – Oversee production: labels, nametags, vouchers, hours of operation signage, ice carvings + timely deliveries of all. Equipment maintenance, /package receiving.

o
Meal Plan service – assist the Senior Program Project Coordinator and Project Manager with Meal Plan-related items including coordinating refunds and changes, assigning meal plans, visitor groups, tabling, and reporting.

o
Finance responsibilities – Maintains a purchasing card and coordinates appropriate purchases with permission. Tracks budgets, negotiate vendor quotes and prepares expense reports as needed. And also will facilitate billing for visitor groups.

o
Misc. marketing responsibilities – Hours of operation on the website, backup for social media monitoring, and coordinating student schedules to assist with various projects.

o
Other duties as assigned.
