We are seeking a highly organized and proactive Executive Administrative Assistant to provide remote support to the owner. The successful candidate will be responsible for managing the daily operations of our remote office and ensuring seamless communication between team members. The ideal candidate must have excellent organizational, communication, and time management skills and be comfortable working autonomously while meeting deadlines.

If you need to be micromanaged in order to stay accountable, this isn't the role for you.

Responsibilities:

  • Manage and maintain internal calendars, including scheduling appointments, meetings, workshops, and conference calls (using Acuity and Zoom)
  • Prepare and distribute meeting agendas, post meeting emails, and other documents as required. Assign and follow up on any tasks determined during meetings.
  • Screen and prioritize emails, messages, and other forms of correspondence for the owner
  • Conduct research and compile data for reports and presentations
  • Manage special projects as assigned by the owner
  • Work collaboratively with other team members to ensure efficient office operations
  • Update systems and keep project management software organized
  • Maintain confidentiality of sensitive information at all times

Qualifications:

  • 3+ years of experience as an Executive Administrative Assistant or similar role
  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively
  • Excellent communication skills, both written and verbal (no typos, no grammar errors)
  • An eye for detail
  • Proficiency in Google Drive (Google Docs, Sheets, etc.)
  • Proficiency in Asana
  • Experience working in a remote environment preferred
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and take initiative when necessary
  • Positive can-do attitude

This is a part-time remote position with flexible working hours. The successful candidate will work closely with the owner and other team members to ensure smooth operations of the company.
