Ethos is looking to hire the right candidate to fill the role of Administrative Assistant for the PCA Department

The Personal Care Attendant Program is a MassHealth program that helps people with permanent or chronic disabilities keep their independence, stay in the community, and manage their own personal care by providing funds to hire personal care attendants (PCAs).

Administrative Assistant DUTIES:

1. Obtain Prior Authorization letters from the MassHealth Provider Online Service Center and enter tracking information into the PCA Database and other spreadsheets.

2. Obtain Prior Authorization notices from SCO and One Care programs and enter tracking information into the PCA Database and other spreadsheets.

3. Assign Consumer evaluations to clinical staff and communicate with medical offices to obtain PCP sign-off on completed assessments; assist Skills Trainers with submission of PA requests to the MassHealth LTSS Provider Portal.

4. Process and distribute Overbilling letters.

5. Assist PCA Program Managers with transfer of files to other Personal Care Management Agencies.

6. Complete monthly coverage calendars for skills trainers; copy and distribute to appropriate personnel.

7. Process terminated files; submit termination requests to MassHealth; expunge old files when appropriate to do so.

8. Create or revise in-house forms and copy and collate materials as needed.

9. Oversee PCA office volunteers.

10. Complete and distribute weekly and monthly assignment lists to Skills Training staff.

11. Enter initial PCA referrals into the PCA Database.

12. Assist PCA Program Managers with monitoring of PA expiration dates.

13. Type, proofread and edit correspondence and reports; take and type minutes of PCA Team Meeting.

14. Assist in QI process: gather information, tally results, etc.

15. Assist in maintaining Agency filing systems.

16. Pick up and distribute PCA mail; print out and distribute PCA faxes.

17. Cover Reception desk as needed

18. Verify that SCO consumers are in SIMS with correct SCO ID, SCO enrollment, and PCA program enrollment.

19. Ensure that PCA authorizations are up to date in SIMS for SCO consumers.

20. Other duties as requested.

QUALIFICATIONS:

1. Excellent typing skills ‑ minimum 50 WPM.

2. Intermediate word processing skills including accurate data entry, familiarity with spreadsheets and ability to use graphic programs required.

3. Detail oriented with excellent organizational and communication skills.

4. Strong written and verbal skills.

5. Good interpersonal skills and sensitivity to elders and the disabled.

6. Flexibility and ability to adapt quickly to changing work situations and demands.

7. Ability to see what needs to be done and take action.

8. Ability to safely lift/transport/file consumer files of up to 10 pounds.
