Primary Purpose of Organization Unit
The School of Business changes lives through education. It prepares students for careers in accounting, economics, entrepreneurship, finance, international business, management, marketing, financial services and supply change management.

Primary Purpose of Position
Supports the Dean, the Associate Dean, and the department Chairs in the School of Business by interacting with students, Business faculty and others.

Public contact:
  • helps students solve their problems and directs students to the appropriate person, which requires a good understanding of university regulations and procedures relating, for example to academic requirements, registration and drop/add procedures.
  • helps faculty members, departmental Chairs, Directors, the Associate Dean, and the Dean. This will require a good understanding of university regulations and procedures relating, for example, to procurement, travel requests, use of state vehicles.
  • receives phone calls for the School of Business and directs calls to the appropriate person
  • helps plan and conduct the annual Awards Banquet. This will require work outside of normal office hours.
  • helps to orient new faculty and helps them with on-boarding paperwork.
  • requests teaching materials from publishers for faculty.
  • deals with vendors.
  • makes hotel reservations and travel arrangements for visiting faculty, speakers, etc.
  • because the person in this position is often the first point of contact with students, prospective students and their parents, vendors, administrators, and other departments, the person must have good communications skills, both written and oral, and good written composition skills.

Reports and Records:
  • is expected to protect the privacy of students, faculty and staff, and to protect the confidentiality of information pertaining to them.
  • enters the class schedules into scheduling software.
  • enters registration overrides as requested by the Associate Dean.
  • maintains a list of advisees and their advisors and assigns new Business majors to advisors.
  • checks prerequisites and reports to students that they will be dropped from classes.
  • takes minutes for School of Business meetings, Chairs meetings, and occasionally other meetings, and submits the minutes for revision and approval. Posts approved minutes on an internal School of Business Web site.

Maintaining Files:
  • receives syllabi from faculty and stores them.
  • receives and scans student evaluation of instruction forms, generates reports from these forms using software, distributes copies of the reports to faculty, and maintains files of the reports.
  • checks textbook orders and reminds faculty to submit them on time.
  • travel reimbursement forms
  • purchase order forms and requests for payment
  • equipment requests

Facilities:
  • maintains departmental bulletin boards and approves or denies items to be posted on them.
  • has master keys for the building and issues keys to appropriate faculty members.
  • monitors classrooms to see that boards, desks, computers, projectors, visualizers, and screens are in good repair.
  • maintains a supply of pens, whiteboard markers, whiteboard erasers, staples, etc. for faculty.
  • reserves classrooms, seminar rooms, and computer labs for meetings and special events.
  • monitors the condition of printers, copiers and the FAX machine and sees that they are supplied with paper and toner.
  • monitors to condition of the electronic display board in the lobby and calls DOIT for maintenance when necessary.

Technological Skills:
  • works comfortably with office software such as MS Outlook, MS Word, MS Excel, MS PowerPoint and Banner.

Mail:
  • is responsible for retrieving and distributing incoming mail to the School of Business.

Supervision:
  • occasionally oversees work-study office assistants.

Management Preference
Preference will be given to a person with good language skills who has the self-discipline and insight needed to work without direct supervision. Knowledge of Banner would be a positive factor.
