The Administrative Assistant provides support to the Secretary for Program and Executive Assistant with daily operations of the Program Secretary’s Office. This includes secretarial and general office functions with minimal supervision as assigned by the Executive Assistant. Additionally, this individual will serve as back up in the event the Executive Assistant is out of the office.

This position is based in West Nyack, NY at the Eastern Territorial Headquarters.
- Assist in the maintenance and updating of Annual Command Review material on SharePoint group sites annually.
- Compose and prepare draft correspondence on behalf of the Secretary for Program. Some correspondence requires the signature of the Chief Secretary and/or Territorial Commander and therefore, proper protocol and chain of command must be followed.
- Support the Executive Assistant in answering incoming calls for the Secretary for Program.
- Handle all inquiries with professionalism and compassion and take detailed messages for any necessary follow up.
- Set up and produce attractive programs, tables and charts using applicable software; type minutes, briefs, bulletins, etc., as needed.
- Prepare reports, programs, graphics and PowerPoint presentations as requested by the Program Secretary or the Executive Assistant.
- Schedule monthly touch base meetings with Program Section Department Heads.
- Assist with the taking of minutes at committees in the absence of the Executive Assistant or as requested.
- Assist with maintaining the Long-Range Calendar on SAConnects; update as needed.
- Assist with work in support of the Advent/Lent resource materials and annual Program Planning Guide.
- Assist in reserving a conference room and preparing agenda for the Program Section Department Head’s meetings which meet bi-monthly.
- Code bills and invoices for the Secretary for Program as requested.
- Code bills relating to program events such as Christmas, Territorial Executive Council, Commissioning, Old Orchard Beach, etc.
- Attach receipts and provide descriptions for Smart Data account for Program Secretary.
- Attach receipts and provide descriptions for Smart Data for Executive Assistant, as necessary.
- Establish new files, consolidate current files and purge dated files (shredding documents of a confidential nature) according to the National Record Retention guidelines.
- Work on territorial and/or international congresses as needed.
- Handle mail for the Program Secretary’s office when the Assistant Secretary for Program Administrative Assistant is unable. Bring mail to the Executive Assistant’s office.
- Maintain and update Office Assistant/Administrative Assistant Brief as necessary.
- Perform other tasks, including support of the Music and Candidates Departments as required by the Executive Assistant and Program Secretary.
Qualifications:
- Associate’s Degree
- 3-5 years of related experience
- Proficient in Microsoft Office Suite – Word, PowerPoint, Outlook
- Ability to take meeting minutes
- Strong attention to detail
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe Acrobat and IBM Notes
- Ability to maintain strict confidentiality
- Excellent verbal and written communication skills
