Job Duties: Provides clerical and administrative assistance to the Director of Workforce Education;
participates in all aspects of the general office activities, including: preparing travel and meeting
arrangements, agendas and minutes; coordinates direct mailings; enters, maintains and updates the filing
system for the department in both paper and electronic formats; responds to phone calls and emails for
the department; maintains and facilitates effective use of calendars to coordinate work flow and
scheduling of training course(s); prepares and maintains general purchase order requisitions and p-card
transactions; registers students in training programs; prepares and maintains student files and records;
maintains confidentiality in all aspects of student, staff and agency information; responsible for other
duties and assignments deemed necessary to efficiently operate department office. Security-sensitive
position.
Salary: Clerical Schedule Group II; 12-month position.

QUALIFICATIONS
Education: Associate’s Degree preferred.
Experience & Training: Minimum three years’ full-time experience administrative assistant. Experience
using Microsoft Office Suite (Word, Excel, Access, and PowerPoint).
Additional Qualification Requirements: Must have excellent English, writing, and oral communication
skills; English/Spanish bilingual ability desirable. Must possess required knowledge, skills, abilities and
experience and be able to explain and demonstrate, with or without reasonable accommodation, the
essential functions of the job. Experience in working with diverse populations. Candidate must be
authorized to work in the U.S. and must provide verifiable credentials; successful completion of
background checks specified for the position. Must have a valid Driver's License and be insurable through
SWTJC insurers. Travel required to other locations served by the college.
