POSITION SUMMARY:
Performs all administrative tasks and duties associated with the Maintenance Department.
KEY RESPONSIBILITIES:
  • Assists Maintenance Manager with tasks as needed.
  • Manage department Policy and Procedure Documents monthly.
  • Manage daily absence report.
  • Send out other daily, weekly, or monthly reports as needed .
  • Setup new MPC and contractors hires with computer access and other request from supervision.
  • Setup meetings and coordinate conference rooms.
  • Order and pickup lunches as needed for meetings.
  • Gather documents, reports, and make copies as needed.
  • Organize departmental meetings.
  • Update and monitor department webpages.
  • Assist the Craft Supervisor with prepping for yearly evaluations.
  • Assist all Supervisors with tasks as needed.
  • Assist the maintenance department and other departments as needed.
  • Back up PM Document Controller as needed.
  • Manage and order supplies for the department.
  • Ensuring employee time is entered for payroll (twice per month).
  • Ensure vacation daily and set up vacation at the end of the year for the next year.
  • Ensure vacation balance in Workforce and Senterlink.
EDUCATION AND EXPERIENCE:
Minimal Qualifications:
  • High school diploma or equivalent is required.
  • A Transportation Worker Identification Card (TWIC) will be required upon hire.
Preferred Qualifications:
  • A minimum of five (5) years of administrative experience is preferred.
  • Prior administrative assistant experience
  • Knowledge of Microsoft systems and webpages
