Performing Arts Academy in West Kendall has a permanent part-time administrative assistant position available.
We are looking for a responsible Administrative Assistant with a personable fun attitude to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and teachers, assisting in daily office needs and managing our company’s general administrative activities.
The ideal candidate should have excellent oral communication skills and be able to organize their work using tools, like MS Excel and office equipment. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments/classes
- Assist in the preparation of regularly scheduled classes/makeups
- Maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies
- Maintain contact lists/leads
- Submit daily reports
- Provide general support to visitors/students
- Act as the point of contact for internal and external clients
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Tentative Schedule
Mondays 4:00 to 8:00pm
Tuesdays 4:00 to 8:00pm
Wednesdays 4:00 to 8:00pm
Thursdays 4:00 to 8:00pm
Fridays 3:00 to 8:00pm
Saturdays 10:00am to 2:00pm
This position requires a person that is outgoing and friendly. Good phone skills and customer service skills a must. The working environment requires attention to detail and the ability to concentrate with distractions.
Admin will be responsible for registering students, answering the phones, greeting students/parents, providing information, keeping merchandise inventory, office supply inventory, costume tracking, event participation, among other duties.
Basic computer skills required, knowledge of excel is a plus. Dance, Theatre or music knowledge helpful, but not required. Bilingual (English-Spanish) is a plus plus.

To keep our staff and students safe we have restriction as to who can enter the academy, temperature is being taken at time of arrival and departure. Hand sanitizing stations in different areas and scheduled sanitizing throughout the day.
