The general function of the position within the organization is to perform work that is defined and related to administrative support for code enforcement and permitting. This will include customer service duties for 2 supervisors. This position is under the coordinated supervision of the Administrative Supervisor and the Office Manager for Planning, Building & Development.
- Collections correspondence and tracking.
- Entering violation cases into our land management program and scheduling code enforcement inspections.
- Violation case file preparation for Administrative Adjudication and Circuit Court.
- Assisting with the nuisance complaint line.
- Administrative Adjudication Hearing preparation.
- Creating responses to customer inquiries.
- Filing documents.
- Assist with special projects.
- Answering phone calls from our main department number, returning phone calls, and taking messages.
- Provide customer service support by answering general inquiries.
- Maintain departmental records, input data into a specific database.
- Schedule inspections for field staff.
- Assist with special projects.
- All other related duties as assigned.
- Gathers, organizes, analyzes, examines, or evaluates data or information.
- Gives information, guidance, or assistance to people or may give instructions or assignments to helpers or assistants.
- Reads technical instructions, charts, and/or procedures manuals; composes routine reports and completes job forms; speaks compound sentences using standard grammar.
- Performs coordinating work involving guidelines and rules with constant problem solving; requires continuous, close attention for accurate results or frequent exposure to unusual pressure.
Education and Other Requirements
- Requires High school diploma, GED and formal training, special courses or self-education that is equivalent to satisfactory completion of one year of college education or specialized advanced training.
- Requires one year of comparable clerical experience.
- Requires Knowledge of records and operation of the office; modern office practices, procedures, and equipment; spelling, punctuation and grammar; PC operations and software (Word processing and spreadsheet) are required.
Physical Requirements
- Performs sedentary work that involves sitting most of the time but may involve standing or walking for brief periods, exerting up to 25 pounds of force on a regular basis; and some dexterity in operating machines, tools, or office equipment.
