Academic Services Professional Temporary

Job Summary:

This position is responsible for supporting the day-to-day administrative operation of first and second-year medical student curricula. The position will provide on-campus support of daily curriculum sessions, remote support of Zoom learning, and planning support for functions like student scheduling and course material uploads. The School of Medicine is currently undergoing curriculum reform and will have multiple live curriculums starting in the fall.

The individual in this role will be relied upon to establish and maintain effective working relationships with a wide array of staff, faculty, and community partners. Relationship building, follow-up, and regular lines of communication are essential. The successful candidate will possess excellent communication and organizational skills; s/he will also have the ability to successfully manage multiple self-directed projects that may, at times, have competing priorities.

Key Responsibilities:

Course Planning, Development, and Coordination

  • Attends planning sessions for curriculum groups to record actionable meeting minutes, collect resources and store them in centralized repositories, and conducts follow-up on action items to ensure their timely completion.
  • Confirms session schedules with block coordinators. Builds the course schedule in advance of each course block and ensures it is published to student schedules.
  • Schedules activities for legacy and hybrid content to student schedules and ensures information about each session is available to students in a timely and consistent manner.
  • Coordinates the scheduling of rooms and event spaces for on-campus curriculum events.
  • Creates, sets up, and communicates online learning details for remote learning sessions.

Live Session Set Up and Support

  • Provides day or support for various curriculum sessions across the legacy, hybrid, and reformed curriculum.
  • Collects necessary resources, course printouts, and other supplies to ensure each session is correctly supplied for student learning.
  • Greets guest faculty and assist them in navigating on the campus and finding their assigned rooms.
  • Learns IT functions of common learning spaces on campus to provide on-time trouble shooting for faculty and students.
  • Assists in the capturing of student attendance, reporting results to faculty leadership as required.
  • Attends live Zoom learning sessions and provides administrative support for small group breakouts, recordings, and technical functions (like screen sharing).

Database Entry and Validation

  • Manage data entry and data validation processes in support of the Foundations of Doctoring Curriculum and the Preceptor Database
  • Enter data from various sources into the Preceptor database with an emphasis on accuracy and consistent data entry practices.
  • Will collect data from multiple existing records and assist in consolidating these sources into a master database system.
  • Validate existing data in the Preceptor Database by comparing it to publicly available clinical site information and contacting clinics when necessary.

UME Administration

  • Develop cooperation and cross-functional teamwork while participating in a group; working toward solutions which generally benefit all involved parties.
  • Establish and then document best practices and standard operating procedures relevant to core work responsibilities.
  • Support Office of Medical Education events and curriculum sessions as needed.
  • Perform other duties as assigned by the Plains and Pillars Curriculum Manager.
  • Will be trained in university procurement processes and policies to support the purchasing of necessary supplies for Plains curriculum activities.

General legacy and hybrid curriculum support

  • Manages central email inboxes for hybrid and legacy curriculum, addressing inquiries and routing requests as required with an emphasis on timely, high-quality service.
  • Actively manages facilitator groups for various curriculum sessions such as Problem-Based Learning. This includes regular session facilitators as well as a pool of substitute facilitators.
  • Recruits and maintains a facilitator database in conjunction with course leadership and the School of Medicine Central Office.
  • Collaborates with other curriculum content coordinators and faculty to ensure cohesiveness across the student curriculum experience.

Compensation and Benefits Language:

For single rate: The hiring rate for this position has been established at $18.00 / hour. The above salary rate represents the University’s good faith and reasonable estimate of the rate at the time of posting.

Qualifications


Minimum Qualifications:

  • Bachelor’s degree in education administration, business administration, education organization, management, communications, or a related field from an accredited institution.
  • Professional experience working in an administrative or education role

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.


Preferred Qualifications:

  • 1-2 years of experience working at a higher education institution.
  • Experience working in an academic medical environment.
  • Experience working with learning management systems (i.e., Blackboard, Canvas).
  • Experience with curriculum management and coordination.
  • Experience working within the confines of complex rules, regulations, and accreditation standards.

Knowledge, Skills, and Abilities:

  • Proficiency with Microsoft Office software, especially Outlook and Excel.
  • Ability to align multiple, competing demands with established priorities, and enjoy the challenges of change.
  • Displays analytical and critical thinking skills to assist in resolving complex problems. Independently seeks solutions with minimal supervision or external input required.
