JOB OVERVIEW:
Manages and controls competency level of Hotels DELPHI FDC data base. Write, create and generates new and existing DELPHI FDC reports for Directors and Managers. Generates End of Month/Quarter, Pace/Performance Tracker reports, Sales, CCS bonus audit, and production for Sales, Catering, and Conference Services teams. Represent hotel in a professional and courteous manner at all times.
Maintains/cleans/audits of DELPHI FDC accounts, bookings, banquet event orders, revenues, etc.
Skills:
Working Knowledge of Microsoft word, excel, Meeting Broker and DELPHI FDC. Experienced DELPHI FDC user with working knowledge of a Delphi Multi-Property (DMPE) & Global system. Have excellent command of English both verbal and written.
Experience:
DELPHI FDC usage (general system and back of house system).
Duties and Responsibilities:
- Provides directors of marketing, catering, sales, and conference services, with support in generating accurate reports for forecasting purposes.
- Input, manage and update item entries (menu items, hotel and meeting room capacities/information, etc.) in DELPHI FDC.
- Manage and ensure DELPHI FDC information (accounts, contacts, BEO’s, and events) are entered accurately and to company standards.
- Maintains Hotels expected DELPHI FDC competency level.
- Create, track, assign, and link all sales leads in Delphi FDC appropriately.
- Train all new employees in DELPHI FDC system and hotel standards.
- Responsible for re-training opportunities with employees in DELPHI FDC.
- Liaison between the Hotel, GSO and the Corporate Office in regards to DELPHI FDC and Meeting Broker; issues, up dates, changes and standards.
- Run and complete regular Delphi FDC audits to insure hotel entered information is accurately reported and meets InterContinental Hotels Group standards.
- Liaison between Hotel and Amadeus on DELPHI FDC and Meeting Broker systems. Responsible for contacting Amadeus support with any issues and ensuring those issues are resolved in a timely manner.
- Monitor interface with PMS (Opera) system and insure system accurately reflect block commitments and pick-up.
- Liaison between DELPHI FDC, Opera, and Concerto support on group related issues or up dates.
- Liaison between Hotel and the Corporate Office for adding, changing, or retiring a user in the DMPE systems.
- Generate Month End, Pace, Production, and consumption reports for Sales, Catering, and Conference Services.
- Produce end of quarter Bonus Plan reports
- Create and generate new reports for sales, conference services, and catering departments as needed. (i.e. daily’s, 10-reports, etc.).
- Provide support to staff with any DELPHI FDC related issues.
- Run daily, weekly, monthly, and quarterly reports for managing accounts, contacts, and bookings in DELPHI FDC (i.e. TBA and Hold reports).
- Maintains and updates all compiled reports for the Hotel (eg. adding new users to a report)
- Assist Directors with the Budget and Marketing Plans as required.
- Provide administrative support to DOSM & DOS
- Perform other duties, tasks and special projects as assigned.
- Manages Meeting Broker and distributes leads several times per day.
- Updates Cvent and other booking channels to ensure the information is accurate.
