Overview:
The Support Specialist supports business development and sales activities in several capacities, including coordination of proposal efforts, monitoring potential business development opportunities, and maintaining business development resources.

This position will be responsible for preparing proposals that respond to Requests for Proposals (RFPs), working in tandem with managers and other team members to edit proposal content that describes the company's value proposition, market positioning and competitive advantages.

Responsibilities:

  • Study a Request for Proposals (RFP) and package the company’s services into a written bid or proposal in response to the RFP, and provide other support relative to the company’s sales efforts.
  • Review RFP documents, assist with the proposal outline and assist with the proposal development process.
  • Participate during planning sessions to fully understand business requirements and how to best position the proposal response.
  • Proofread and edit proposal content, check drafts for consistency, clarity, appropriateness and persuasiveness of the material.
  • Format and create computer graphics.
  • Ensure that proposals are accurate and fully compliant with the specific requirements of each RFP.
  • Develop effective methods for presenting and organizing information within proposals, such as the use of tables and graphics.
  • Edit proposal materials to eliminate inconsistencies in format or voice, typos, and grammatical and spelling mistakes.
  • Adapt existing data and materials to respond to individual proposal needs.
  • Research and update information in the business development repository, including project descriptions, databases, resumes, and other qualifications materials.
  • Compile questions and requests for additional information as part of the RFP process.
  • Assist with development of presentations for the sales team.
  • Respond to requests for information from team members in support of the various product lines offered by the company.
  • Assist with the public bid notification process (Onvia, trade publications, airport specific websites).
  • Distribute RFP materials and upload in Salesforce.
  • Assist in the preparation, printing, and shipping of proposals.
  • Assist in the creation and approval of Deal Journeys in Salesforce.
  • Assist in the preparation of sales presentations.
  • Assist in the coordination and completion of various forms used in proposals.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
  • Assist in the preparation and distribution of regularly scheduled reports.
  • Update and maintain office policies and procedures.
  • Handling administrative requests and queries from the Airports team.
  • Conduct market research analysis.
  • To provide and coordinate a comprehensive business administration service to management and analysts within the team.

Qualifications:

  • Must be able to handle and use constructive feedback in order to make needed changes to documents and proposals.
  • Previous editing experience, attention to details and ability to work well in a team environment oriented to production and success.
  • Excellent written and oral communication skills
  • Ability to comprehend complex material and explain technical concepts clearly, concisely and logically.
  • Expertise in use of word processing and electronic publishing programs.
    • Highly proficient in MS Word and PowerPoint
    • Good working knowledge of MS Excel and desktop publishing
    • Experience with project management software will be helpful
  • Ability to sometimes work under tight deadlines and stressful conditions.
  • Ability to work closely and develop relationships with other departments across a large geographic footprint.
  • Ability to effectively assist in ongoing projects, move projects towards completion and meet firm deadlines with minimal supervision.
  • Bachelor Degree required, preferably in English, Business Communications, Journalism, Marketing or related field a plus.
  • Strong communication-verbal and written-skills, organizational skills, and ability to maintain working files and revisions of documents.
  • Experience responding to RFPs issued by governmental agencies, airport sector experience and/or knowledge of the paid parking industry a plus.
  • Must be willing and able to travel, as needed.
