Job Overview:
The job involves distributing medical supplies and equipment to hospital facilities and storage locations, with tasks such as scanning, barcoding, receiving, storing, and distribution. Knowledge of policies, inventory systems, and Logistics processes is required for this daily role.
Responsibilities and Duties:
· Maintaining stock at various inventory locations for clinical and administrative services, including delivering inventory, replenishing stock, interacting with customers, maintaining records on stock levels, recommending revisions in stock levels as needed, communicating concerns to supervisors, and obtaining information regarding medical supplies.
· Monitoring expiration dates, rotating stock, removing items from use as required by outdates, checking inventory for recalled items and hazard alerts, and controlling critical supplies. Significant deviations are escalated to Inventory Management Specialists
· Performing daily inventory using bar coding equipment and resolving differences between records and physical count of stock.
· Distributing items based on requirements in computerized inventory management systems, using a pager or similar device to expedite pick/delivery of items needed in user areas throughout the VA Health Care System and supported catchment area. Fills requests for items based on daily schedules of need or on an emergent basis as appropriate.
- Deliver supplies in a timely and accurate manner, ensuring supplies and material delivered are in sterile and operational condition. Deliveries will be to wards, clinics and other secondary locations that may be in remote sites. Delivery by motor vehicle may be required.
- Complete specialty cart preparation and stocking.
- Clean assigned secondary areas (shelves and bins) in accordance with aseptic principles as published in infection control guidelines, local Standard Operating Procedures (SOPs), and Joint Commission standards as scheduled.
- Support wall-to-wall and periodic inventories.
- As needed, assist in other functional areas of the Section and performs other duties as assigned.
- Receive supplies and material into the VA Health Care System and supported catchment area. Unpack/uncrate supplies from shipping cartons; properly store supplies and material in main/primary inventory areas. Store items in accordance with established guidelines, utilizing a computerized inventory system, to ensure sterility and integrity of the supplies and material and the data integrity of the inventory management system. Through periodic inventory and discussion with ward and clinical personnel, maintain stock levels, return reusable supplies to the distribution area, and inform clinic and ward personnel on new or changed items and supplies, current medical supply resources, and shelf life. Perform other duties as assigned.
Qualifications:
· Practical knowledge of inventory and material management procedures, including interpretation of policies, procedures, manuals, and regulations related to supply/inventory management and federal acquisition systems is required for this position.
- Knowledge related to stock rotation, hazard alerts, and recalls is necessary to ensure the removal of outdated or compromised supplies and material from the usage area.
- The position requires familiarity with an automated inventory system to monitor issues and receipts, which supports the stock replenishment process. Analytical skills are necessary to define and identify problems, collect data, and provide recommendations for solutions.
· The ability to use computers and Microsoft Office software programs such as Microsoft Word and Excel is necessary to manage supply inventory and enter information into the system.
- Knowledge of the names of different supply items, including trays and sets, and a general understanding of how items are used is necessary in case users refer to them by other names.
- Knowledge of proper aseptic procedures and their integration into healthcare programs, including knowledge of equipment availability, economic use, and operation.
- Knowledge and understanding of terminology and items related to specialty carts to ensure proper preparation and stocking.
- Knowledge of medical and surgical terminology, established work methods, recognized priorities of clinical areas, and item descriptions to properly manage inventory and support clinical needs.
- Effective communication skills, both oral and written, to communicate with a variety of individuals including internal and external customers using appropriate techniques and methods.
