About the Work Unit
This position is part of the Risk Management Team with the Office of Transportation Safety at the Colorado Department of Transportation (CDOT). Risk Management at CDOT includes employee and contractor safety programs to mitigate risk including insurance coverage, property, liability, property recovery, and workers' compensation programs, and focuses on the protection of COOT employees and assets in its service capacity.
About this Position
This position serves an important role in the daily operations of the Risk Management Team, providing technical support to staff and the Property/Auto programs and the Workers' Compensation programs.
Major duties and responsibilities include, but are not limited to:
- Evaluates claim submissions and determines the appropriate operations required for claim set up, analyzing and classifying claims submitted through the on-line reporting system for processing.
- Analyzes and reads all documentation related to claims to determine claim type(s), including Workers Compensation, Auto, Property, Self-Insured Liability, or Third Party.
- Collaborates with the Attorney General's office for the implementation and ongoing use of the FTP site for all litigation requests.
- Provides solutions and training to CDOT staff on the Origami system.
- Performs technical data actions for the CDOT Risk Specialists to update medical information, capture lost time, report financial compensation from the TPA and manage the filing systems..
- Creates and uses excel spreadsheets for logging and tracking activity and generating reports and charts from Origami for risk management and CDOT leadership.
- Calculates Workers' Compensation checks, verifying accuracy of balance sheet for submission to payroll and works with the Origami Data Administrator to ensure accuracy and integrity of data, testing system upgrades and assists resolving issues and concerns.
- Assists in the development and management of data systems to evaluate trends to support safety programs and risk initiatives.
- Ensures documentation and reporting is accurate and not duplicated in the Origami RMIS.
- Provides reports of litigation requests from the Attorney General's Office and assists Risk Specialist with gathering requested information, initiating responses based on requests and what issues may be involved.
- Gather information and data of all projects enrolled into the Owner Controlled Insurance Program (OCIP), ensure that all invoices are accurate, on budget and paid within the payment terms.
- Ensures that CDOT's over 3,000 properties (sand sheds, maintenance barns, offices, etc) and their values are reported on a yearly basis to State Risk.
- Uses SAP and other programs to ensure that the CDOT Risk Management is compliant with State Fiscal and Procurement Rules, set up Shopping Carts, and monitor, create, or close Purchase Orders as needed.
- Provides support to the department in completing team goals, composes and updates office procedures for smart, lean processes and maintains confidential files for claims, safety programs and risk initiatives as well as providing support to internal and external customers.
- Monitor and process emails, claims and documents in the Risk Management in-box.
- Other job duties as assigned.
Work Environment:
- Your schedule will primarily be 8:00 am – 5:00 pm work hours, Monday-Friday, but we are flexible to meet your work/life balance needs while ensuring CDOT business needs are met.
- You will likely work a hybrid schedule with a combination of in-office and remote work.
Minimum Qualifications
Three years of full-time experience in administrative and/or support roles for accounting, financial services, insurance, or risk management. This experience must have included experience in the use of Microsoft Excel at the intermediate level (creating spreadsheets with formulas, building charts and graphs from raw data).
- College coursework in Risk Management may be substituted for the years of experience on a year-for-year basis (30 semester hours equals one year of experience).
