Frost Brown Todd, a national law firm of 1000+ legal and business professionals in sixteen markets, is currently seeking a full-time Records Center Assistant to join our Cincinnati office.

Job Responsibilities Include:

  • Maintaining client files within the centralized records areas and keeping the centralized records areas neat in appearance.
  • Maintaining and tracking files that are checked out to other business professionals using the firm’s records management software system. Updating client and matter names as requested.
  • Assembling files and utilizing alphabetical, numerical, and other filing systems to organize files.
  • Coordinating transfer of files with outside record storage facilities and recording maintenance of off-site files using the firm’s records management software system.
  • Coordinating transfer of files with outside parties, including attorneys and clients.
  • Inventorying records throughout the office on a regular basis to ensure their current location and circulation status.
  • Handling record retention process, contacting attorneys for approval of destruction of eligible matters, locating files off-site, and preparing lists of boxes to be destroyed.
  • Greeting clients in a professional and friendly manner while handling front desk reception duties.

Requirements

  • High school diploma required.
  • At least 1-2 years of experience in a professional office environment.
  • Previous office records experience preferred.
  • Proficiency in Microsoft Word, Access, Outlook, Excel and other database programs.
  • Ability to assemble files and to file information utilizing alphabetical, numerical filing and other filing guidelines.
  • Excellent communication and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Must be reliable, with a team-oriented attitude.
  • Ability to retrieve and distribute files weighing up to 40 pounds
  • Ability to retrieve and replace objects from shelves up to 8 feet high, sometimes a large amount in a day.
  • Able to handle confidential information.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to interact with internal and external clients in a courteous and professional manner.
  • Ability to travel by car to other FBT offices as needed. Travel time estimates are moderate (10-20%).
