Summary of Position Role/Responsibilities

The Quality Assurance Coordinator provides administrative support to the Quality Assurance (QA) team as they prepare, compile, and maintain QA documents required for deployment of international healthcare professionals (HCPs) and throughout their contract term. This role is responsible for scheduling activities and appointments for HCPs, including but not be limited to, medical testing and drug screens, to ensure the HCP is able to start their assignment on time while meeting compliance requirements set by the client and Avant.

Essential Functions of the Job

  • Compile and maintain current and accurate data for all HCPs going through the placement process and those on active assignment
  • Communicate requirements with HCPs while monitoring receipt of required documents, uploading documents into our internal database for each applicant, and continuing follow ups until all pre-employment requirements are met
  • Ensure documentation requirements and credentials are up to date for actively employed HCPs for the duration of their assignment by tracking expiration dates, providing timely follow up of renewed or completed credentials
  • Maintain an understanding of medical requirements including titers, vaccination requirements and drug screening processes
  • Assist with processing and completing background checks using OFAC, SAM, OIG and other clearance databases
  • Coordinate laboratory requirements for HCPs, including scheduling, chain of custody forms and management of cost containment
  • Communicate professionally and effectively with HCPs by email, telephone, and in-person as needed
  • Ensure high quality, timely, and accurate credentialing records for HCPs prior to arrival in the US and once on assignment
  • Maintain knowledge and keep up to date with Joint Commission standards, as well as State and Federal regulations
  • Advise QA Specialists and/or Director of Clinical Quality of questionable information received and escalate any issues in the review process as needed
  • Coordinate with the Logistics department to ensure logistics arrangements are in place to avoid delays
  • Assist with the distribution, collection, validation, and upload of any HCP-Client related documentation
  • Organize and assist with any onsite medical testing events and/or HCP activities required for clearance
  • Process, submit and dispute any HCP related invoicing, expenses, and reimbursements through internal payment systems to meet weekly and monthly accounting deadlines, escalating issues to the senior members of the team

Education, Training, and Experience

  • High School Diploma or equivalent required, or equivalent combination of education and experience will be considered
  • Associate degree preferred
  • Minimum of 1-year related experience in customer service and administration required
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to multitask multiple priorities simultaneously, while adhering to strict deadlines
  • Ability fostering long term relationships with internal and external stakeholders
  • Ability to maintain confidentiality of privileged information gained
  • Ability to work independently with a strong attention to detail and accuracy
  • Ability to learn and assimilate new and varied information quickly and efficiently
  • Proficient with Microsoft office (excel, outlook, word), adobe and data-entry software

Job Type: Full-time

Pay: From $1.00 per hour
