Summary/Objective

The Program Specialist is responsible for the planning and execution of programming for the Bridging the Gap New Voices initiative, a foundation funded program dedicated to connecting research and policy, primarily in the fields of political science and international relations. The Program Specialist is responsible for assisting with the execution of up to four workshops annually under the supervision of the Finance Manager, including making logistical arrangements, drafting agendas, and working with the BTG leadership team to coordinate speaker invitations. The Program Specialist will also assist with coordinating the launch of a new initiative involving policy engagement by post-doctoral scholars, including handling travel arrangements for two scholars to come to Washington, DC. This position is contingent upon funding. The position start date is mid-August 2023.

Essential Functions

The primary responsibilities of this position include:
  • Event Planning:
    • Serve as the main point of contact with vendors and partner organizations in executing logistical tasks for up to four in-person workshops annually (New Voices in National Security Series).
    • Plan and execute arrangements for registration, meeting facilities, meals, lodging, audiovisual equipment and operators, and transportation for all in-person events under the direction of the Finance Manager. This may include visits and tours to restaurants or conference spaces in Washington, DC.
    • Attend the workshops. Most workshops will be in the Washington, DC area. For workshops outside of the Washington, DC area, Bridging the Gap will cover travel and accommodation expenses.
    • Draft conference and event agendas for workshops based on guidance from the leadership team.
    • Assist with organizing any written products or reports following New Voices workshops.
    • Organize travel arrangements for post-doctoral scholars.
  • Grant Management:
    • Assist in preparing and compiling information for Bridging the Gap funder reports under the direction of the Finance Manager
  • Other Duties as Assigned.

Position Type/Expected Hours of Work

  • Position will involve about 10 hours/week. Exact schedule may vary week to week.

Salary Range

  • $20/hour.

  • Current AU graduate student.
