Job description
We are looking for a self-starting Residential Program Coordinator Specialist to undertake a variety of administrative and program management tasks. You will help in planning and organizing programs and activities as well as carry out important operational duties. To be an excellent program coordinator, you must be organized, competent, detail-oriented, comfortable working with diverse teams, have reasonable availability which may include weekend, evenings, overnights, and holidays. If you have skills in residential program development, management, and support, we'd like to meet you. The goal will be to facilitate the effective management of programs according to our organization's standards.
Overall Position Snapshot

The person will be required to effectively multitask, have excellent organizational and time management skills and delegation skills to maximize their effectiveness. This hybrid position will be split between the residential programs and the administrative office. A pleasant disposition, effort towards relationship building and motivation are essential as this position maintains close working contact and acts a liaison between the residential staff/ lead staff/ supervisors, office management staff and maintains contact with supports coordinators, behavioral specialists, physicians, pharmacy, school, day program and other business partners for appointments, coordination, planning, updates/ modifications. This position ensures completion of said activities including ISP/ IEP to ensure that all information is completed and/ or disseminated to ensure effective operations and support of the individuals in our residential programs. Participates in on call with reasonable flexibility, reviews schedules to ensure that coverage is secured for time off requests, both preplanned or short notice, coverage may include evening, overnights, weekends, holidays, or drop in for medication administration may be necessary when staff coverage cannot be obtained OR it is necessary for the needs of the residential program. A review of paperwork, electronic documentation, and responsibilities will be required for completion and accountability, monitors water temps/ physical site assessments for compliances as applicable, completes petty cash transactions and facility purchase orders, and files/ reviews programming binders for compliance. Schedule
Monday-Friday 8:30a-4:30p, with availability flexibility to cover shifts as needed and required on evenings, overnights, weekends, holidays and/ or other changes to fit the needs of the program.
Salary:
Annual Salary $47,000-$52,500* Based on verifiable education and experience.
*Opportunity to earn flexible compensation time which can be banked for later use OR cashed out at the end of every month up to a specified amount. *
Responsibilities:
- Support planning and coordination of the residential program, its activities and the individuals supported
- Ensure implementation of agency and regulatory policies, practices, and procedures
- Employee/ residential sites schedules
- Time and attendance monitoring and approval
- Participate in rotating on call/ shift coverage as needed
- Maintain budget and track expenditures/transactions
- Manage and disseminate communications
- Help build positive relations within our team internally and any external business partners
- Schedule and organize meetings/events and maintain agenda
- Train and spend time with staff to ensure position proficiency
- Review and prepare electronic and physical paperwork, complete reports timely
- Maintain, review and update records, reports or other documentation
- Support growth and program development with the supported individuals and staff
- Attend scheduled meetings (e.g., Individual Service Plan's/ ISP's, medical appointments, programming, conference calls etc) as required.
- Fulfilling the role of plan lead to coordinate services not received from a support's coordinator or coordinating the services provided to an individual
- Participating in every aspect of the development of the ISP, ISP annual update, reviews, and ISP revisions.
- Complete monthly/ quarter ISP reviews. Reviewing, signing and dating the monthly documentation of an individual's participation and progress toward outcomes.
- Coordinate, complete assessments, as well as pre-admissions intake and providing the assessment to the Supports Coordinator (SC), as applicable and plan team members at least 30 calendar days prior to an ISP meeting for the development, annual update.
- Completing post admission activities and conduct other periodical reviews as necessary or required.
- Develop the initial ISP within 90 calendar days after the individual's admission date to the facility
- An invitation shall be sent to plan team members at least 30 calendar days prior to an ISP meeting
- Informing plan team members of the option to decline the ISP review documentation as required
- Adhere to confidentiality of client record sand HIPPA requirements

Requirements
- Be at least 18 years of age
- Have a bachelor's degree in Psychology, Education, Human Services or similar field w/ 4 years of direct care, & 2 years of managing people OR an Associate's degree in Psychology, Education, Human Services or similar field w/ 6 years of direct care experience & 2 years managing people
- Have a valid PA Driver's License and have an acceptable driving history
- Be able to obtain a physical and TB or have had one w/in the year of hire date
- Be able to obtain or have current CPR/ 1st aid
- Proven experience as program coordinator or relevant position
- Knowledge of PA 6100's and 6400 regulations, residential program management
- Tech savvy, proficient in MS Office Suites (Word, Excel, PowerPoint, Outlook, Publisher-as
needed) - Digital management skills (phone, text, tablet etc)
- Technical/ Presentation skills (PC/ MAC)
- Proficient with Therap electronic documentation system
