This position is part-time, 20 hours per week

POSITION SUMMARY
This position administratively supports the prevention department. In addition to clerical duties, this position will be responsible for organizing and follow-up of distribution and evaluation of prevention strategies as well as keeping track of grant schedules (application and reporting due dates).

ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:

  • Provides administrative support, as requested, by members of the Prevention department.
  • Works with the Manager of Prevention Service, or assigned prevention specialist, to maintain a distribution and evaluation system for education programs and maintain data collection and reports as directed.
  • Develops a department calendar to include reminders of upcoming grant deadlines, reporting, trainings, etc.
  • Takes and distributes minutes for department, coalition and committee meetings as assigned.
  • Posting of developed social media for area coalitions and track/report analytics.
  • Maintains/updates various coalition rosters, school contact lists, etc.
  • Copies and collates documents for meetings, trainings, and event packets.
  • Assists with filing, mailing, routine correspondence and budgets when requested.
  • Assists with preparation of onsite and virtual trainings (registration, follow-up evaluation, etc.) and conferences such as Northland Youth Leadership Summits, Northland Prevention Conference, Legislative Forum, and documentary screenings.
  • Gathers resources (deliver if needed) requested for area events/resource fairs and help to staff and coordinate events. Maintain an organized and stocked supply room.
  • Demonstrates professional conduct and courtesy to peers, consumers and community as a representative of TCMHS.
  • Other duties and/or responsibilities may be assigned by supervisor.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

Education/Certifications:
  • High School diploma or equivalent required
  • Bachelor's degree preferred
  • Valid Driver's License and minimum state-required auto insurance
Experience Required:
  • 1+ to 3 years of position related experience required.
Required Knowledge:
  • Proven ability to manage multiple tasks while meeting various deadlines.
  • Manage and execute tasks in a professional manner (grammar/spelling, etc.)
  • Accreditations such as certified administrative professional (CAP) are also preferred, not required.
Skills/Abilities:
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Highly organized and demonstrates ability to maintain schedules and ability to multi-task.
  • Able to maintain an engaged, positive attitude in an ever-changing environment.
  • Excellent customer services skills including oral and written communication skills to effectively interact with a wide variety of people.
Additional Requirements:
  • The ability to travel locally, with reliable transportation, as requested.
  • The ability to work a flexible schedule which may include some early morning and/or evening hours and occasional Saturdays, as needed per specials requests.
