Job Summary

The Plant Engineering Administrative Assistant is responsible for responding to department inquires (including communication with external customers). He/She assist with the development and administration of various departmental programs and preparing reports, as well as performing administrative and office support activities for multiple managers.

Other Duties

  • Service agreement (contract) management
  • Equipment and supply ordering and receiving
  • Employee uniform program administration and tracking
  • Processing and paying contractor invoices using ARIBA and ORACLE
  • Drafting EXCEL spreadsheets to track cost and tasks
  • Issuing working authorizations to vendors and contractors (PEFER)
  • Processing project invoices and general project schedule
  • Support of the Function Manager and other staff
  • Telephone coverage
  • Mail distribution
  • General office duties including word processing, data entry, faxing, reserving conference rooms, coordinating meetings and other duties as assigned

Preferred Competencies

  • Experience in the Plant Engineering department

  • Demonstrated ability to handle multiple tasks in a fast-paced environment under minimal supervision with a high attention to detail

  • Strong analytical, oral/written communication, problem solving, basic research, and time management skills

  • Accurate and rapid data entry

  • Determining methods and procedures for completing tasks

MINIMUM QUALIFICATIONS

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Adobe - Preferred

  • Office support experience - Preferred
