Contractual Pay Rate: Full-time: 260-day Union employee (Local 808)
* Base: $17.94/hour
* 6 month Increase to: $20.11/hour
* 1 yr Increase: $21.56/hour
* 37.5 hours per week (Biweekly pay: 75 hours)

General Description of Duties

Under the direct supervision of the Superintendent/Business Manager, the purpose of the position is to perform district-based duties associated with the payroll office and provide support to the Business Office. Employees in this position must function at an experienced administrative level with superior technology skills. Employee also serves as backup to other clerical positions in Central Office. Employee is responsible for computing the payroll for the district including all statutory and elective deductions.

* This position will work in conjunction with the Payroll Coordinator and will be required to manage the complete processing of payroll when needed

Specific Duties and Responsibilities

* Updates and maintains employee database integrity;

* Participates in the processing of biweekly payroll by the following:

  • Processes payments for all “other wages” and reimbursements;
  • Prepares, inputs, processes and reconciles all activity in order to generate payroll checks. Processes union dues, pensions, garnishments, PACs;
  • Tracks other special payments (i.e. Overtime, Meetings, PDI Payments, Travel, Tutoring, etc.);
  • Performs all checking and recordings of cover sheets and time cards;
  • Enters all time for Daily and Hourly employees;

* Verifies and uploads HSA2/TIAA biweekly remittance totals;

* Updates tax-sheltered annuity accounts and 403b accounts as needed;

* Maintains files for payroll records and employee time cards;

* Prepares census reports as needed;

* Prepares and completes journal entries for check reversals, liability payments and HSA Frontloads;

* Prepares data for yearly audits;

* Prepares/processes employee wage statements upon request (i.e., for pensions, social security, and insurance inquiries);

* Processes unemployment and TDI forms for the Dept. of Labor, formulates Social Security reports;

* Prepares/tracks monthly Overage submissions by school and teacher; Completes/Processes year end Overage payout;

* Responds to internal and external inquiries regarding payroll issues, updates and changes;

* Performs any additional duties as per the Superintendent/Business Manager/Designee.

Skills and Qualifications

  • Minimum of 4 years related work experience with 2 years of payroll experience
  • Accurate typing skills.
  • Strong mathematical and analytical skills.
  • Ability to read, analyze, and interpret general accounting applications, procedures or governmental regulations.
  • Proficient computer skills, including Microsoft Office with the ability to learn new applications.
  • Prior system administration of payroll/financial software preferred
  • Effective oral and written communication and interpersonal skills.
  • Ability to exhibit a high level of confidentiality and integrity.

MINIMUM TRAINING AND EXPERIENCE

High school diploma or GED with additional educational/experience in payroll or accounting from a recognized post-secondary

institution; or equivalent combination of education, training and experience. Associates degree or certification in Secretarial Sciences

or Payroll preferred but not required.

* Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.

* Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving evaluation of information against measurable or verifiable criteria.

* Requires the ability to perform tasks that require visual perception and good oral communications.

ADA COMPLIANCE

PHYSICAL ABILITY: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.

ENVIRONMENTAL FACTORS: Tasks are regularly performed without exposure to adverse environmental conditions such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, violence, disease, or pathogenic substances.
