JOB DESCRIPTION AND POSITION REQUIREMENTS:

We are searching for a self-motivated, customer service oriented, and quality conscious person who is interested in a part-time opportunity. This opportunity will be assisting our Archivist and Records Specialist within the Information Technology Services Division, located in the Enterprise Operations Office of the Applied Research Laboratory (ARL) at Penn State University. ARL/Penn State’s purpose is to research and develop innovative solutions to challenging scientific, engineering, and technology problems in support of the Navy, the Department of Defense (DoD), and the Intel Community (IC).

Reporting directly to ARL’s Archivist, you will:

  • Acquire, analyze, categorize, catalog, and maintain information or artifacts using descriptive metadata throughout the archivist collections and databases (JIRA, SQL) and internal websites (Atlassian)

  • Inventory and maintain collections of documentation, data, external reports, and specialized archival collections in unclassified and classified formats

  • Ensure safe practices for the custodianship, physical storage, and preservation of collections and all archival safes

  • Ensure compliance with existing contracts/security requirements within archives and records

  • Respond to requests, questions, and issues, ranging from routine to moderately complex, regarding sensitive records and information, as well as ARL/University policies, processes, and procedures

  • Educate stakeholders and conduct presentations regarding archival and records management processes

  • Assist with preparation and facilitation of yearly DoD and NATO security inspections

  • Assist with internal audits of classified holdings within the archives collections

  • Track and generate monthly reporting metrics

  • Keep abreast of new developments, technologies, and products to facilitate digitization processes

  • Assist Penn State University Libraries and Records offices to promote a culture that is conducive to effective relationships among diverse team members

  • Provide back-up support as needed

Typically requires High School Diploma or higher and 3+ year’s related experience or an equivalent combination of education and experience.

Required skills/experience areas include:

  • Proven success in an office environment, where various forms of communication and organizational skills were crucial to be effective

  • Past experience working alongside a diverse group of people from a variety of cultures and backgrounds

Preferred skills/experience areas include:

  • Good understanding of collections management, digital archiving, and workflow processes

  • Understanding of the Defense Industrial Base

  • Active DoD security clearance

Your working location can be hybrid on-site/work from home, located in State College, PA. This position may require periodic travel to locations surrounding the State College Area as part of collection retrieval or education.
