Definition & Duties

Under supervision, performs clerical duties and provides general office support services including relief reception. Answers and routes phone calls, answers routine requests, provides information to the public, processes mail, completes standard letters and forms, and types drafted correspondence. Interacts with members of the public in person and/or over the telephone to explain basic departmental policies or procedures, or determines the proper person to whom to refer them for assistance. Provides information and referral services to the public pertaining to MH/DS of the East Central Region, Johnson County Case Management or other disability services.


Knowledge of & Ability to

  • Current office practices and procedures

  • English language to include grammar, spelling, vocabulary, punctuation, and proofreading skills

  • Learn, apply, and articulate departmental programs, operations, rules, regulations and policies

  • Have sufficient manual dexterity to operate a computer keyboard and mouse with moderate use at 45 wpm and make handwritten notations
  • Stand, sit, squat, kneel, bend, twist, reach, and use a step stool as needed
  • Lift and/or move up to 35 pounds as needed
  • Have sufficient personal mobility to occasionally travel to meetings and training sessions
  • Work flexible schedule and occasional overtime as needed

Minimum Education, Training & Experience & Special Requirements

High school graduate or equivalent and six (6) months of varied and responsible clerical experience; OR any equivalent combination of education and experience which provides the required knowledge and abilities necessary to perform the work.

  • Performs general clerical duties such as photocopying, filing, faxing, typing, data entry, and processing mail, including tracking & monitoring in-coming checks through an established office policy.
  • Updates and maintains spreadsheets and tracking sheets for Mental Health and Disability Services/Case Management.
  • Assists other staff members with various clerical requests and projects.
  • Assists in completion of weekly claims to the Auditor's Office.
  • Updates and distributes bi-weekly payroll timesheets to MH/DS and Case Management department staff.
  • Answers and refers telephone calls, greets office visitors and takes messages. Responds to questions from callers and walk-ins seeking services, assistance, or information. Disseminates written material to MH/DS or Case Management applicants.
  • Provides backup for reception/clerical staff as needed.
  • Assists in scheduling conference room usage in the Health & Human Services Building.
  • Orders office supplies, monitors billing and budget authority for supplies, maintains an inventory list.
  • Participates in training/educational opportunities and work-related meetings as required.
  • Performs all work duties and activities in accordance with County & State policies, collective bargaining contract, procedures, and safety practices.
  • Attends work regularly at the designated place and time.
